Event Floor Coordinator - $18 - $21 per hour
The Event Floor Coordinator is responsible for supervising a wide range of events planned by the event management team. Such events are included, but not limited to, conventions, trade shows, and graduation ceremonies. The Event Floor Coordinator supports the event management team and serves as the venue liaison between the clients, the renter, and the facility's operational staff. Additionally, this position is responsible for servicing the St. Paul RiverCentre’s Exhibitor Services Department. Most of this position time is serving events in the St. Paul RiverCentre and Roy Wilkins Auditorium.
Responsibilities/Essential Functions:
- Serve as primary client event contact in the absence of Event Manager.
- Supervise events and event operations to meet client needs.
- Plan and discuss event details with operations and support staff.
- Assure readiness of items needed for events in facilities – including signage, room sets, and exhibitor services.
- Ensure readiness of venue common spaces to ensure a premium experience for all guests.
- Supervise room set-ups and occasionally move tables, chairs, and various equipment into position.
- Assist the Event Management team with scheduling and other support work.
- Assist in promoting effective use of the RiverCentre complex.
- Manage digital signage throughout the facility, keeping it updated based on current & upcoming event activity.
- Perform other tasks assigned by the Senior Event Manager, Event Management staff, and Director of Event Management.
- Manage exhibitor services.
- Manage the exhibitor ordering process, including pre-event, event day, and post-event activities related to ordering and payment reconciliation.
- Including proactively monitoring exhibitor orders for any special requests/needs and communicating with the appropriate department or event manager.
- Serve as the customer service representative for exhibitor inquiries related to ordering venue services (electrical, internet, water, drain, etc.), which will be conducted in person, electronically, and over the phone.
- Manage the exhibitor services website to ensure usability for exhibitors and staff.
- Support Event Management Administration.
- Assist Event Managers with department client gifts.
- Including tracking, reminding, and ordering gifts.
- Assist in creating & updating monthly department schedules.
- Complete annual equipment inventory with the Operations department.
- Communicating security related information & completing incident reports.
- Perform other duties as assigned.
Position Requirements:
Formal Education & Certification:
- Bachelor’s degree or equivalent experience preferred.
- One year in an event-related position, preferably in a meeting or hotel environment.
Knowledge & Experience:
- Basics of facility management or event planning
- Technical production equipment.
- Guest service practices of large groups of people.
- Working in a team environment with a wide variety of personalities and skill sets.
- Basic computer skills and Microsoft Office experience are preferred.

Work Conditions:
- The regular schedule would be second shift, Tuesday through Saturday, approximately 2:00 pm – 10:30 pm. This schedule is event-driven and may vary based on business needs.
- Physical requirements include sitting, walking, standing, bending, squatting, climbing, kneeling, twisting, lifting, grasping, etc.
- Ability to lift, carry, and handle items weighing at least 25 pounds.
- Ability to move, maneuver, push/pull items weighing up to 100 pounds by cart, pallet-jack, or other tools.
