Seasonal-Full Time - Administrative Assistant, People Team - $18.00 per hour - $20.00 per hour

This role is temporarily needed from April to August 2026

Position Summary: The Administrative Assistant, People Team, plays a key supporting role in delivering an efficient and organized talent acquisition process across all Minnesota Sports & Entertainment entities. This position partners closely with the Talent Acquisition function by providing administrative and coordination support throughout the recruitment lifecycle. From scheduling interviews and managing candidate communications to maintaining accurate employee records, this role ensures a seamless and professional experience for candidates, hiring managers, and the People Team. Through strong attention to detail and organization, the Administrative Assistant contributes to an effective hiring process and positive employee experience. 

Responsibilities/Essential Functions:
•Provide administrative support to the Talent Acquisition function across all entities.
•Coordinate and schedule interviews, intake meetings, and hiring recap meetings using Outlook calendaring.
•Assist with the preparation and distribution of recruitment materials, including interview guides and packets.
•Maintain accurate and up-to-date records within the Human Resource Information System (HRIS) and Applicant Tracking System (ATS).
•Upload and organize all recruiting and onboarding documentation into employee electronic files in the HRIS system.
•Support the creation and tracking of job postings and candidate pipelines as directed by the Talent Acquisition team.
•Assist with sending offer letters, background check documentation, and onboarding communications.
•Ensure all recruitment-related documents are completed, received, and properly filed in compliance with company standards.
•Provide general administrative support to other People Team functions, including data entry, reporting, and process tracking.
•Partner with the People Team to support a high level of service and responsiveness to employees and candidates.
•Assist with process improvements to enhance efficiency and organization within Talent Acquisition workflows.
•Perform other duties as assigned.


Position Requirements:
Formal Education & Certification:
•High school diploma or GED, or equivalent experience.
•Associates or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.


Knowledge & Experience:
•At least one year of administrative or coordination experience, preferably in Human Resources or Talent Acquisition.
•Experience with calendaring and scheduling in Microsoft Outlook is required.
•Basic working knowledge of HRIS and/or ATS is preferred.
•Experience managing confidential information with discretion and professionalism.
•Proficiency in Microsoft Word, Excel, and PowerPoint.

Work Conditions:
•Ability to work nights, weekends, and holidays as needed for games and events.
•Physical requirements include sitting, walking, standing, bending, squatting, climbing, kneeling, twisting, lifting, grasping, etc.
•Lifting up to 25 lbs.
