Executive Operations Manager
Executive Operations Manager - $60,000 - $90,000 annually
Position Summary: The Executive Operations Manager serves as a strategic partner to executive leadership by overseeing administrative, operational, financial, and employee engagement activities that enable the department to operate efficiently and effectively. This role manages executive support functions, coordinates budgets and vendor relationships, drives operational planning, and ensures seamless execution of meetings, projects, travel, and departmental initiatives. The position is critical to organizational success because it creates structure, improves operational efficiency, strengthens team culture, and allows leaders to focus on strategic priorities and business outcomes.
Responsibilities/Essential Functions:
- Provide comprehensive executive and administrative support to leadership and departmental teams.
- Manage complex executive calendars, scheduling, and meeting coordination.
- Prepare meeting agendas, organize materials, and track follow-up action items.
- Coordinate travel arrangements, itineraries, accommodations, and expense reporting.
- Coordinate Corporate Partnership group travel.
- Provide administrative support to executive leadership and departmental teams.
- Maintain organized records, files, and operational documentation.
- Develop and format professional presentations, reports, and executive materials using PowerPoint and other Microsoft Office applications.
- Maintain spreadsheets, trackers, and reporting tools with a high degree of accuracy.
- Coordinate financial, operational, and departmental activities to ensure efficient business operations.
- Support departmental budget tracking, including accounts receivable and accounts payable coordination.
- Serve as a liaison with Finance regarding invoices, reconciliations, and departmental expenditures.
- Monitor and track departmental expenses and vendor payments.
- Assist with budget reporting and administrative financial processes.
- Coordinate office operations and departmental logistics.
- Support departmental planning activities, events, meetings, and functions.
- Manage relationships with vendors and external partners to support operational needs.
- Assist with broadcast and cross-functional departmental support as needed.
- Research and source innovative solutions, tools, and vendors to improve operational efficiency, including emerging AI-enabled technologies.
- Coordinate Corporate Partnership event planning, including but not limited to receptions, holiday parties, and suite entertaining.
- Coordinate Corporate Partnership gifting strategy, including but not limited to onboarding gifts, renewal gifts, holidays, and playoffs.
- Support strategic projects, employee engagement, and organizational culture initiatives.
- Support special projects and operational initiatives as assigned.
- Coordinate employee engagement activities including recognition programs, anniversaries, birthdays, and team events.
- Support initiatives that enhance workplace culture and team connectivity.
- Perform other duties as assigned.
Position Requirements:
Formal Education & Certification:
- Bachelor's degree or equivalent experience.
Knowledge & Experience:
- Three to seven years of executive administrative, operations, or coordination experience.
- Advanced proficiency in Microsoft Office Suite, including:
- Excel
- PowerPoint
- Outlook
- Word
- Experience supporting senior leadership or executive teams.
- Experience with budget tracking, vendor coordination, or finance partnership activities.
- Experience in media, broadcast, sports, entertainment, or fast-paced operational environments preferred.
- Experience coordinating complex travel.
- Familiarity with AI productivity tools and operational technology solutions.

Work Conditions:
- Ability to work nights, weekends and holidays as needed for games and events.
- Physical requirements include sitting, walking, standing, bending, squatting, climbing, kneeling, twisting, lifting, grasping, etc.
