SUMMARY
The IT Coordinator provides essential operational, administrative, and coordination support within the IT department. This role supports procurement, vendor management, SaaS operations, financial tracking, and day-to-day IT workflows. The position partners closely with IT leadership, the SaaS team, vendors, and cross-department stakeholders to ensure smooth operations, accurate financial processing, and effective system and user coordination. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Coordinate IT procurement activities, including obtaining quotes, placing orders, tracking orders, and supporting purchasing decisions.
- Process purchase orders and invoices using Concur, ensuring accuracy, proper approvals, and timely submission.
- Track IT budgets, costs, and expenditures, maintaining spreadsheets and documentation for reporting and reconciliation.
- Coordinate vendor relationship records, including onboarding new vendors and maintaining vendor records in ServiceNow.
- Support SaaS operations by assisting with survey creation, platform administration, and user onboarding for tools such as Monday.com and SurveyMonkey.
- Assist the IT Service Operations team with ongoing platform management and administrative tasks.
- Manage scheduling and calendar coordination for IT meetings.
- Attend meetings and regular syncs, take notes, and distribute action items and follow-ups.
- Create, update, and maintain operational documentation, spreadsheets, and shared resources used by the IT department and other internal departments across the organization.
- Serve as a point of contact between IT, internal stakeholders, and external vendors to facilitate communication and task completion.
- Perform additional administrative and coordination duties as needed to support IT operations.
QUALIFICATIONS
Knowledge Areas/Experience
- 2+ years of experience in a coordinator, administrative assistant, or operational support role, preferably within IT or a technical environment
- Experience working with procurement systems, expense tools, or ticketing platforms
- Bachelor’s degree or equivalent professional experience preferred
- Strong organizational and time-management skills with the ability to prioritize multiple tasks
- High attention to detail and accuracy, particularly with financial and procurement documentation
- Ability to work effectively with technical and non-technical stakeholders
- Strong written and verbal communication skills
- Proficiency with Microsoft Office
- Ability to handle sensitive information with discretion and professionalism
- Comfortable working in a fast-paced, deadline-driven environment
- Purchase order and invoice processing (Concur)
- Vendor onboarding and record management (ServiceNow)
- SaaS platform administration and support (Monday.com, SurveyMonkey)
