SUMMARY
The Assistant to the CMO serves as a critical operational partner to the Chief Marketing Officer, enabling the executive to lead effectively across a large, dynamic and cross functional marketing organization. This role blends high-level executive support with marketing operations responsibilities, requiring someone who is equally comfortable managing a complex itinerary and coordinating the on-time delivery of enterprise-wide marketing outputs. The ideal candidate is proactive, highly organized, and brings a genuine interest in sports, entertainment, and marketing. This person thrives in fast-paced environments, anticipates needs before they arise, and takes pride in making things run seamlessly behind the scenes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Executive & Calendar Support – Manage the CMO’s complex and ever-changing calendar, including scheduling internal and external meetings, resolving conflicts, and ensuring the executive is fully prepared for each commitment with relevant materials and context.
- Travel Coordination – Arrange all domestic and international travel for the CMO, including flights, ground transportation, hotel accommodations, and itinerary management; anticipate logistical needs and proactively address changes or disruptions.
- Expense Management – Process and reconcile expense reports for the CMO accurately and on time; maintain organized records and ensure compliance with company expense policies.
- Meeting Coordination & Facilitation – Own end-to-end coordination for leadership team meetings, cross-functional working sessions, and external engagements; develop and distribute agendas in advance, capture meeting notes and action items, and track follow-through on commitments.
- Marketing Operations & Output Coordination – Serve as a central coordination point for marketing deliverables across the organization; work with cross functional department stakeholders to track the status of key projects, campaigns, and initiatives; maintain shared calendars and workback schedules to ensure marketing outputs are delivered on time and aligned with organizational priorities.
- Cross-Functional Communication & Stakeholder Liaison – Act as a liaison between the CMO and internal teams, league partners, and external stakeholders; manage correspondence on behalf of the CMO as needed; triage inbound requests and route them appropriately to ensure nothing falls through the cracks.
- Project & Deadline Tracking – Support the enterprise marketing team in managing project timelines and deliverable tracking; flag risks or delays early; help maintain visibility across concurrent workstreams so the CMO and leadership team have a clear picture of what is in progress and what requires attention.
- Special Projects & Ad Hoc Support – Take on research, presentation preparation, and other ad hoc projects as directed by the CMO; operate with a high degree of initiative and bring a solutions-first mindset to every assignment.
QUALIFICATIONS
Knowledge Areas/Experience
- 5+ years of experience in an executive assistant, administrative, or operations role supporting senior leadership, ideally within a large, matrixed organization
- Demonstrated ability to manage complex calendars, travel logistics, and expense reconciliation with accuracy and discretion
- Experience coordinating cross-functional meetings and managing follow-through on action items across multiple stakeholders
- Familiarity with marketing operations, project tracking, or campaign workflow management in a corporate setting
- Prior experience supporting a C-suite executive in a sports, media, or entertainment organization
- Exposure to marketing project management tools
- Interest in hockey and professional sports
- Bachelor’s degree or equivalent professional experience required
- Strong Microsoft Office skills, particularly PowerPoint
- Highly developed verbal and written communication skills with the ability to influence at leadership levels
- Highly organized, attention to details and strong follow-through
