Summary
The Event Services Coordinator has the responsibility of assisting with the operation of the Event Services department at Nationwide Arena as directed by the Event Services Manager and other Senior Leaders. Aligned with the Event Services discipline which partners with the Security discipline, the Event Services Coordinator serves in support as well as Leadership capacities.
The Event Services & Security team consists of Full-Time and Part-Time Staff who cover roles associated with Event Services (face-to-face Guest interaction) and Security (back-of-house as well as face-to-face Guest interaction). Event Services role positions include a Part-Time Staff of Ticket Scanners, Event Services Representatives, Premium Service Concierge, Ambassadors, Supervisors and Lead Supervisors.
Reporting to the Event Services Manager, the Event Services Coordinator call to action will require the candidate to have experience with managing Part-Time Staff Members of notable scale within an Event (Guest) Services environment. Role responsibilities require a wide range of candidate schedule availability including evenings, weekends and holidays.
Experience engaging in tasks associated with Staff scheduling and communication, payroll management, operational documentation creation and partnering with key stakeholders within an Event Services department is a must. Demonstrated ability to manage and interact with a multitude of personalities both internally and externally is sought. The ability to engage in concurrent tasks in an ever-changing environment is required.
A successful candidate is a positive unifier, skilled in guiding responsible parties along the journey of instilling great Guest Service outwardly and Team Comradery within our Staff.
Essential Duties and Responsibilities include the following. Other duties will be assigned.
- Build genuine rapport with Event Services Staff Members, ensuring relationship building remains paramount.
- Support the Event Services Manager and other Senior Leaders to ensure event and staffing requirements are met and exceeded whenever possible.
- Oversee staffing needs for each event and scheduling of Event Services Staff Members. Create and update online schedules on a regular basis and tracks attendance. Update individual Staff Member schedules as needed.
- Review and complete payroll for all Event Services Staff Members for each event in a timely manner.
- Prepare event paperwork, including but not limited to, Event Information Sheets, Briefing Notes, Premium Seating Listings and Event Services Position Postings.
- Support members of the Event Services Leadership Team with operational tasks associated with Staff Member orientations and trainings.
- Monitor and track the onboarding and training progress of new Staff Members, ensuring timely completion of required positions.
- Maintain Event Services’ uniform inventory, coordinate laundering to ensure cleanliness and quality standards, and assist with restocking orders accordingly.
- Ensure Event Services’ supply and equipment storage areas are properly organized and stocked for operational need, while consistently reporting supply inventory levels and state of equipment functionality to the Event Services Manager.
- Partner with key members of the Columbus Blue Jackets Arena Management team to accomplish common goals.
- Serve as a beacon for Staff excellence, harboring a spirit of openness to all those interacted with.
Supervisory Responsibilities
The Event Services Coordinator supervises Part-Time Event Services-focused Staff Members of notable scale.
Serving as a positive role model for all those within Columbus Blue Jackets Arena Management and Columbus Blue Jackets as well as with on-site Corporate Partners and Vendors is always expected.

Qualifications

Education and/or Experience
Bachelor’s Degree from a four-year college or university and minimum of one year of experience in the management of a diverse team of Part-Time Staff with a Guest-centric mindset is required. Experience in the event management industry, aligned with large-scale signature venues (Arenas, Convention Centers, Stadiums, etc.) is highly desired. Experience with safety and/or security subject matter from Guest facing as well as internal Staff perspectives is desired.
Valid Driver’s License is required.
Computer Skills
To perform this role successfully, an individual should have considerable knowledge of utilizing Microsoft Office and computer applications related to presentation creation and staffing systems including payroll and scheduling software. Experience with using technology to communicate with Staff directly in various methods (phone, email, online surveys, mobile applications, etc.) is required.
