The Topeka Scarecrows are seeking a highly organized and proactive Office Manager to ensure the smooth and efficient operation of our administrative functions. This vital role supports our team in a dynamic sports environment, contributing to a positive and productive workplace for all staff.

Position Summary: The Office Manager will be responsible for coordinating and overseeing all administrative duties, managing office resources, and providing essential support to various departments. Essential Duties and Responsibilities:
  • Serve as the primary point of contact for general office inquiries, greeting visitors and managing incoming calls.
  • Coordinate and assist with all aspects of space planning, including office moves, additions, and workstation adjustments.
  • Provide direct administrative support, including scheduling appointments, meetings, and events, as well as managing travel arrangements, file systems, and contact databases.
  • Facilitate the coordination and handling of office deliveries and shipments.
  • Oversee office maintenance, working with external vendors and contractors to ensure a clean, safe, and functional workspace, including the proper operation of office appliances.
  • Manage office equipment functionality, identify supply needs, procure necessary items, and coordinate food deliveries as requested.
  • Implement and maintain office policies and procedures to enhance operational flow and efficiency.
  • Collaborate with internal teams to coordinate HRIS database updates, seating assignments, access, and technical requirements for new and existing employees, especially during the onboarding process.
  • Establish and maintain a booking system for shared workstations and conference rooms.
  • Perform other duties as assigned to support the overall operational needs of the organization.

Qualifications:
  • Bachelor’s degree or equivalent practical experience in an administrative or office management role.
  • Prior experience as an administrative professional or office manager.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional interpersonal, written, and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines with excellent attention to detail.
  • Ability to maintain confidentiality of sensitive company information.
  • Flexibility to work evenings, weekends, and holidays as needed to support team operations.
