Position Summary:
WeStreet Ice Center is seeking an outgoing, organized, and action-oriented Event Coordinator to lead the planning and execution of public and private events at our facility. This role is a perfect fit for someone who excels at logistics and thrives in a fast-paced, people-focused environment. In addition to coordinating and managing events on-site, the Event Coordinator will play a role in outbound calls for birthday parties, field trips, and driving event sales.
This position is heavily operations and guest service driven, with a strong focus on building relationships and filling the calendar with successful events. Marketing support is minimal and primarily used to promote events or provide information to the public.
Key Responsibilities:
- Coordinate and host events including but not limited to:
- Private events, corporate outings, group events, and field trips
- Public skating theme nights, watch parties, community days, and specialty rink programs
- Serve as on-site event lead, overseeing setup, team communication, guest service, and tear-down
- Coordinate across internal teams and external vendors to ensure smooth delivery
- Greet and assist guests, manage check-ins, and create a high-energy atmosphere during events
- Capture casual event photos for internal use or recaps
- Host in-rink activations and pop-up stations, engaging with attendees in a fun, enthusiastic, and professional manner.
- Prepare signage, printed materials, event kits, and giveaways
- Ensure all events meet facility safety, cleanliness, and guest satisfaction standards
- Assist in developing new event concepts and experiences through post-event feedback, reports, brainstorming
- Create relationships with schools and community partners through outbound calls and facility tours (in person and over the phone)
- Convert leads to bookings for birthday parties, group skating events, and field trips
Skills & Qualifications:
- Experience in event coordination, hospitality, recreation, or guest services
- Strong communication and interpersonal skills — both written and verbal
- Customer-first mindset with natural relationship-building abilities
- Excellent organization and time management skills
- Self-starter with the ability to manage multiple moving parts at once
- Comfortable leading a team and directing staff or volunteers on event days
- Ability to stay calm, organized, and solutions-focused in fast-paced environments
- Team player with a self-starter attitude and creative mindset
- Willingness to work evenings, weekends, and holidays as needed for events
Additional Skills(Preferred but not Required):
- Comfortable speaking on a microphone and engaging crowds
- Experience in event sales or venue bookings
- Graphic design knowledge (Canva, Adobe, etc.)
- Familiarity with Meta Business Suite or Squarespace
- Video/photo editing experience
