POSITION DESCRIPTION:
The Academy Engagement & Support Coordinator serves as the primary point of contact for parents and guardians, ensuring clear communication, smooth administrative processes, and a welcoming experience for all families. This role manages day-to-day parent communications, coordinates logistics across academic and athletic departments, and supports the overall student experience by fostering strong school-family partnerships.
KEY RESPONSIBILITIES:
Parent Engagement & Communication
- Serve as the primary liaison for parent inquiries, ensuring timely and accurate responses regarding academics, athletics, schedules, transportation, and student life.
- Coordinate regular parent newsletters, announcements, and event communications to keep families informed and engaged.
- Maintain a parent resource hub (online portal or shared platform) with calendars, forms, and updates.
Administrative & Operational Support
- Manage student transportation communications, including bus schedules, routes, and family notifications for changes.
- Support event coordination for orientations, parent meetings, open houses, and student-athlete celebrations.
- Oversee forms, waivers, and registration processes in collaboration with academic and athletic staff.
- Track and maintain parent engagement data (attendance at events, survey feedback, etc.) for continuous improvement.
Family Onboarding & Experience
- Lead the onboarding process for new families, including welcome materials, orientation support, and access to digital platforms.
- Provide personalized assistance to families navigating academic, athletic, and logistical needs.
- Partner with the Head of School on family satisfaction initiatives and feedback loops.
Collaboration & School Culture
- Work closely with academic, athletic, and operations teams to ensure consistent, accurate information is shared with families.
- Champion a family-centered culture that aligns with TSJ PA’s mission of holistic student-athlete development.
- Support special projects as assigned by the Executive Team to improve the parent and student experience.
Qualifications
- Education: Bachelor’s degree preferred; equivalent experience considered.
- Experience:
- 2–4 years in customer service, school administration, or parent engagement roles.
- Experience in independent schools, athletics, or education settings preferred.
- Skills & Competencies:
- Strong communication and interpersonal skills with a service-oriented mindset.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Google Workspace, CRM systems, or school communication platforms.
- Highly organized with attention to detail and follow-through.
