Executive Director, Southern Division
This position will support our Southern Division which consists of the states of Alabama, Arkansas, Georgia, Kentucky, Louisiana, Mississippi, North Carolina, South Carolina & Tennessee. This is a part-time remote position that will require some travel. The ideal candidate is located in one of the mentioned states above.
JOB DESCRIPTION
Summary/Objective:
The Executive Director will run the day-to-day operations of the Southern Division for the Racquet Sports Professionals Association (RSPA). This position is responsible for all administrative tasks associated with the Division. ED (Executive Director) will assist the President and Division Board of Directors. ED will serve as a liaison to the RSPA network on a national, divisional, and regional level and to the divisional committees.
This position will be a part-time position requiring 10-30 hours per week on average, and 2 - 4 traveling weekends per year. The ED is required to attend divisional board meetings, conference calls, Divisional Leaders Training Workshop, April Executive Committee meeting, and divisional convention, workshops, one day events, and world conference.
The Executive Director is an employee of the RSPA, not the Division. This individual will report to the RSPA CEO and RSPA Director of Human Resources and take directive from the Division President and Vice President.
Essential Functions:
- Membership development:
- Lead strategies and initiatives to attract, onboard and retain members
- Supervise, coordinate and implement all facets of membership development with the board
- Work closely with the coach developers within division to schedule workshops, publish a full year calendar and promote attendance in workshops
- Generate membership reports using RSPA Divisions Dashboard
- Connect with new and reinstated members
- Proactively follow up with members who are noncompliant with continuing education credits, providing guidance to ensure they remain in good standing
- Plan and execute arrangements for annual divisional conference and other divisional events
- Manages all venue/hotel/resort logistics, including securing the conference venue and coordinating with the venue or hotel's events team
- Produce convention emails, registration, brochures, fliers, online advertising, social media posts, etc.
- Coordinate travel arrangement for speakers
- Manage conference and other events registration
- Take care of properly capturing education credits
- Plan divisional party at national conference
- Plan and execute arrangements for any specialty courses
- Coordinate all fundraising activities
- Oversee all billing and invoicing processes related to the planning and execution of annual conference and other events
- Manage division expenses
- Submit quarterly expense reports to the National Office within 5-10 days after the conclusion of any quarter
- Develop and manage yearly budgets, pay bills and send out reports as requested. Reports are normally available at the start of the year, middle of the year, and the end of the year, and at board meetings.
- Maintain Division bank accounts and investment accounts in coordination with the National Office (National Office to have oversight and ownership of all bank and investment accounts).

- Annual Divisional Conference
- Board conference calls
- Board meetings
- April Executive Committee meeting
- Monthly conference call with CEO and other EDs – from the National level
- Conventions, workshops, and one day events
- Other training or events as needed
- Give direction to and coordinate with RSPA State Presidents and board
- Prepare agendas for meetings, Zoom conference calls and committees.
- Oversee divisional communications and dissemination of information throughout the division and general communities (quarterly newsletter, brochure, e-blast etc.)
- Handle logistics for all supplies, gift items, and disperse to the various sites.
- Available for all 9 state boards for information, eblasts, and state workshop setups.
- Manage and maintain division website and social media accounts.
- Responsible for all division public relations, media relations and promotional activities along with committee members.
- Manage the 800 number, Google Drive for the Board, Ticket Tailor for convention registration, StringPing, and a simple website for convention information, Hall of Fame, convention grants, and other timely information.
- Pursue and nurture partnerships with other tennis and sports organizations within the division to promote the growth of racquet sports and the RSPA (e.g. USTA, CMAA, IHRSA)
- Required to attend one training session at the RSPA World Headquarters within 3-6 months of employment.

Required Education and Experience:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Proficient with Time Management
- High level of customer service and hospitality
- Problem solver
- Effective written and oral communications skills
- Public Relations experience using social media platforms
- Experience creating newsletters
- Experience planning and coordinating racquet sports events and conventions
Preferred Experience:
- Current RSPA member
- Board experience at the division level is preferred but not required
- 2-5 years of racquet sports teaching experience
- 2-5 years of experience in an administrative role
- Racquet sports general experience and knowledge
- Video skills and editing is a plus
