JOB DESCRIPTION
Summary/Objective
The Controller is responsible for managing the organization’s day-to-day accounting operations and ensuring the accuracy, integrity, and timeliness of financial reporting. Reporting to the Director of Finance, this role oversees core accounting functions including general ledger management, financial reporting, internal controls, and compliance.
The Controller will support organizational financial health by maintaining strong accounting practices, supporting audits, and providing financial insight to leadership.
Essential Functions
- Oversee daily accounting operations including accounts payable, accounts receivable, payroll coordination, and general ledger management.
- Download daily cash and credit card transactions for dues payments, merchandise orders, insurance and certification fees and create daily cash reports. Reconcile and import data from iMIS to Dynamics on a daily basis.
- Receivables: Collect and record payments, prepare deposit slips, reconcile receivable accounts, review delinquent accounts and send notices
- Invoicing: Prepare and mail invoices to divisions, advertisers, endorsees and other miscellaneous customers
- Prepare monthly, quarterly, and annual financial statements, including supporting schedules and variance analysis
- Perform monthly and annual bank account reconciliations and investigate any discrepancies
- Support with the monthly and annual financial close processes, including preparation of journal entries, account reconciliations, and financial statement review
- Ensure all financial transactions are properly recorded and reconciled within established closing timelines
- Maintain organized documentation supporting financial transactions and closing activities.
- Assist the Director of Finance with financial analysis, reporting, and board reporting materials.
- Assist the Director of Finance in coordinating the annual external audit, including preparing audit schedules, reconciliations, and supporting documentation.
- Assist the Director of Finance with the preparation and coordination of the annual organizational budget, including gathering departmental inputs, preparing supporting schedules, and maintaining budget documentation.
- Monitor budget performance throughout the year and assist with variance analysis and reporting.
- Serve as a point of contact for auditors by responding to requests and ensuring timely completion of audit deliverables.
- Analyze and research questions on a case-by-case basis as requested by CEO, board members and executive committee members
Education and Experience
- Bachelor’s degree in Accounting or Finance required
- CPA designation preferred
- Minimum 5-7 years of professional experience in accounting or finance
- Experience in nonprofit, association, or membership organizations preferred
- Experience with iMIS database software or similar membership database software preferred
Skills & Competencies
- Experience in managing month-end and year-end close, reconciliations, and audit preparation
- Strong knowledge of GAAP and financial reporting practices
- Advanced Excel skills preferred
- High attention to detail and strong analytical skills
- High proficiency in accounting software and financial systems (Microsoft Dynamics GP, QuickBooks, etc.)
- Ability to communicate financial information clearly to non-financial stakeholders
Supervisory Responsibility
The Controller currently has no direct supervisory responsibilities but is subject to change pending departmental growth
Work Environment
This job operates in a professional office environment and routinely uses standard office equipment.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is a largely sedentary role with occasional filing and lifting up to 25 pounds. Proper ergonomic and lifting techniques are required.
Position Type and Expected Hours of Work
This is a full-time position, Monday–Friday, 8:30 a.m.–5 p.m. Occasional weekends may be required.
Travel
One week of travel is required annually for the World Conference.
