The Banquets/Special Events Coordinator assists with the plans and execution of banquet, catering, special event and outing packages for the club.
QUALIFICATIONS
- High school diploma or equivalent education
- Thorough knowledge of general business administration practices as would be acquired through one to two years of similar experience in progressively responsible positions
RESPONSIBILITIES/DUTIES
- Responsible for coordination of food & beverage and event set up for all club sponsored programs. Coordinates event needs with Director of Food & Beverage and respective department head.
- Maintain member files and contacts for use as event leads based on information obtained from the Food & Beverage Director and Director of Sales & Marketing.
- Meet with clients to determine best area to accommodate clients’ needs. Recommend menu item selection, decorations and other special theme offerings. Assists with tastings as needed.
- Quote prices and payment options and prepares sales contracts for bookings obtained. Thoroughly explains the provisions of the contract to prospective clients and/or member.
- Prepare purchase orders to satisfy Banquet Event Order requirements. Contact outside vendors for special requirements.
- Coordinate all inter-department related activities with the Food & Beverage Director and other department heads to ensure event execution meets event contract.
- Assist with function set up needs with staff and outside vendors to meet or exceed expectations of client. Ensures that all food and beverages are served according to specifications as prescribed by banquet contract.
- Ensure the cleanliness and proper set up of banquet rooms before, during and after the event.
- Answer questions from and provides information to clients and members.
- Pleasantly greet members and guests and consistently demonstrating TPC Service Excellence philosophies.
- Coordinate final billing with Food & Beverage Director and Accounting Director.
- Writes professional thank you note and follows up with client within one week of event completion.
