QUALIFICATIONS
Two years of college course work (preferably in business or related field) or equivalent administrative support training required
7+ years of experience in office management, administrative support in a fast-paced environment
Prior purchasing, budget management and vendor management experience preferred
Proficient with Microsoft Office 365 including Excel, PowerPoint, Word and other office software including automated calendaring
Excellent communication and interpersonal skills, verbal and written including demonstrated writing ability
Excellent organizational skills, follow-up and detail oriented with a strong focus on accuracy and quality
Ability to maintain confidential information with discretion
Able to work independently, proactively, manage multiple priorities and complete necessary tasks without consistent supervision
Ability to coordinate across remote teams and adaptability in a dynamic office environment
Experience with workplace management systems (e.g., ServiceNow,) preferred
RESPONSIBILITIES/DUTIES
Manage day-to-day office functions, ensuring a clean, safe, and productive work environment with support from supervisor including but not limited to office supply ordering, internal & external vendor communication, mail / shipping/receiving, technical assistance via the PGA TOUR IT Team
Serve as the on-site liaison with building management/landlord for issues, access, and communications
Oversee vendor relationships (coffee services, copier, etc.) and manage service requests as needed
Support seating assignment changes, including nameplates
Oversee visitor experience including reception coverage, registration, and badging processes
Manage office budget tracking, invoice processing, and expense reporting
Develop, maintain and update NY office manuals, standard operating procedures, communications, and other documents, as required
Order and maintain inventory pantry supplies
Serve as a resource for employees regarding office policies and procedures
Maintain office records, documentation, and compliance items (e.g., inspections, permits) as needed
Provide regular updates to supervisor on office operations, issues, and needs
Provide direct administrative support to leadership and/or departments (calendar management, meeting coordination, travel arrangements) as needed
Process, allocate and reconcile vendor and/or designated employees' expenses following company procedures through Concur
Coordinate meetings, catering, and conference room readiness
Maintain organized filing systems (digital and physical)
Special projects or other duties as assigned
The salary range for this position is $80,000 - $95,000.
