The role supports the Senior Director of Membership and Governance by performing a range of administrative and membership-related duties. This position is pivotal in planning membership programs, managing internal events, supporting national committees, and facilitating meetings. Responsibilities also include managing interactions with association leadership, PGA Sections, outside caterers, lodging as well as reconciling expense reports for all national shows and various events and providing excellent Member service.

RESPONSIBILITIES:

  • Administrative Support:

    • Perform administrative tasks to support scheduled activities, program delivery, and departmental goals.

    • Handle expense reports and purchase ordering in Workday.

    • Assist in inventory management at the Member Business Center at the PGA Show.

    • Process monthly membership statistics, and other Membership and Governance processed and member business center items.

    • Maintain Section Roster on PGA.org, including officer rotations and contact details.

    • Handle memos, correspondence, and Masters documentation for the Senior Director.

    • Provide Officer, Board of Control and Membership Committee website support and handle Intercom inquiries as needed.

    • Involvement in Annual Meeting attendee registration and activities.

  • Meeting and Event Coordination:

    • Support planning and execution of PGA Annual Meetings, Super Regional Meetings, Board of Control and Core Committee Meetings and special events.

    • Coordinating logistics with committee members and Special Award Winners and Hall of Fame Inductees from the Nomination process through the awarding/induction.

    • Managing the online Awards tool (currently OpenWater) and serving as the technical liaison to the Awards Committee.

    • Conduct meeting planning, including maintaining delegate lists, updating voting lists, and assisting with lodging and dinner assignments.

    • Attend meetings and manage on-site registration and related duties.

  • Committee and Board Support:

    • Prepare agendas and pre-reads, record minutes for committee meetings, and maintain related websites.

    • Manage the PGA Constitution and Bylaws updates, collaborating with Creative Services for printing.

    • Offer administrative support for the Special Awards and Hall of Fame programs, and work closely with Special Events.

    • Writes and assigns Board of Control Appeals, including all supporting materials, decision letters and appeals to the Board of Directors.

SUPERVISION: No supervisory responsibilities.

FINANCIAL RESPONSIBILITY: Input budget figures for Membership Services and maintain coding sheets at the direction of the Senior Director.

EDUCATION AND EXPERIENCE:

High School Diploma or equivalent.

Five years of office and clerical experience with strong verbal, written, interpersonal, and customer service skills.

Golf Knowledge is a plus. 

SKILLS, KNOWLEDGE AND ABILITIES:

Ability to type 60 wpm; ability to operate multi-line telephone; ability to compose written materials, edit and proofread documents; ability to effectively present information and respond to questions.  Skills in telephone etiquette.  Working knowledge of Gmail, Google Drive, Google Sheets, and Google Docs. knowledge of Microsoft Office Suite. Basic fluency in artificial intelligence (AI) tools and concepts. This includes using AI to enhance business operations and drive innovation, enabling us to better serve our Members and stakeholders. Knowledge of Workday preferred.

Travel is required approximately 2 weeks a year, 7 days at a time.
