This position is responsible for coordinating and facilitating events as assigned for the Hershey Entertainment Complex venues including GIANT Center, Hersheypark Arena, Hersheypark Stadium, Hershey Theatre and various Hershey Destination Entertainment offerings. The Manager, Event Services serves as the primary event execution contact for ensuring that the operational needs of our clients are met by coordinating all internal and external resources to properly execute all events on the Entertainment Complex.

Job Duties (Duties marked with an asterisk are essential functions of this job):

  • Manage assigned events at GIANT Center, Hershey Theatre, Hersheypark Arena and Hersheypark Stadium, from initial planning stages through the invoicing and final settlement.*

  • Meet with clients and promoter reps and to walk-thru venues and plan potential events. *

  • Communicate with union representative to fill needed labor calls. Communicate and coordinate with internal managers for all set-up needs. *

  • Coordinate the delivery, operation, and return of all desired rental items requested by the client. Coordinate all necessary permits needed to present the event. *

  • Provide on-site facility representation for pre-rigs, load-ins, events, and load-outs. *

  • Communicate with our client all expenses pertaining to the event. Create, track, explain, and provide event estimates to financial operations for settlement purposes. Review assigned settlements to ensure financial accuracy.*

  • Under the direction of the Senior Manager, Event Services, "advance events" with assigned clients, customers, promoter representatives, and any other event leaders with a scheduled event at GIANT Center, Hershey Theatre, Hersheypark Arena and Hersheypark Stadium.*

  • Establish the timing and flow of events. Determine the staffing and equipment needed to load-in the event, to present the event., and to load-out the event. Discuss any other items that are vital to the success of the event. *

  • Coordinate and communicate all event logistics. Enter all necessary information in the complex Event Management Calendar database in order to communicate event information across necessary departments. *

  • Along with Security, Guest Services, and Food and Beverage, collectively assess staffing needs to ensure proper coverage while keeping budget in mind.*

  • As Event Services Manager, demonstrate leadership through oversight and development of assigned part-time staff. Act as MOD for Complex for your assigned events. *

  • Participate in weekly Event Planning meetings.*

  • Meet with all potential clients to walk-thru venues and discuss potential events and activities.*

  • Perform other duties as assigned.

Qualifications:

  • Minimum of 2 years of experience in Hospitality, Tourism, or Event Management, preferably in an arena/theater setting.

  • Minimum of 1 year supervisory experience.

  • 18 years of age or older.

  • Must have a valid Drivers' License

  • Bachelor’s degree

    • Relevant work experience can be substituted for education - 6 years

Knowledge, Skills, and Abilities:

  • Skilled in the use of Microsoft Office applications, including Excel and Word.

  • Skilled in the use of Google Applications.

  • Work shifts may involve long hours, depending upon event schedule and demands of the job responsibilities. Must be able to work a flexible schedule, including evenings, weekends and holidays, based on calendar of events.
