The Benefits Coordinator provides administrative support for all employee benefit programs. This role ensures that enrollments are processed accurately, records are maintained, and employee inquiries are resolved quickly. The Benefit Coordinator acts as the primary liaison between employees and benefit providers for routine matters.

Job Duties (Items marked with an asterisk are essential functions of this position):

  • Process all benefit enrollments, changes, and terminations in the HRIS (e.g., new hire entries, life event changes like marriage or birth).*

  • Acting as the primary point of contact for employee questions regarding coverage, claims, and eligibility.*

  • Guide employees through enrollment, help them understand their benefits, and ensure all forms and documents are completed on time.*

  • Maintain accurate employee benefits records, enrollment data, and relevant documentation. Coordinate with HR or the payroll team for payroll deductions.*

  • Provide accurate and complete information about benefits plan coverages, options, deductibles, employer contributions, employee premiums, enrollment deadlines, and any changes to existing benefits.*

  • Support the Senior Leave of Absence Administrator in the management of leave programs, such as FMLA, disability, and parental leave.*

  • Support the Senior Retirement Analyst in the management of the retirement programs along with annual required communications.*

  • Review and respond to benefit verifications forms with appropriate documentation, including HIPP, Medicare, and Federal Assistance programs.*

  • Assist employees with health, dental, life, and other related benefit claims.*

  • Assist with annual communications that must be provided to employees throughout the year.  *

  • Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims, and costs.*

  • Stay up-to-date with the latest trends and best practices in benefits administration and making recommendations for enhancements.

  • Participate in a variety of other short-term projects as assigned and cross train within the various areas of the Benefits Department.

Qualifications:

  • Minimum of 2 years of related experience.

  • Bachelor’s degree - Accounting, Business Administration, Human Resources, Other Related Field

    • Relevant work experience can be substituted for education - 5 years

Knowledge, Skills, and Abilities:

  • Foundational understanding of HCM system configuration, set-up, and functionality.

  • Ability to interpret HCM and payroll systems data and apply it to multiple aspects of benefit plan document language, including eligibility, enrollment, transactions, plan rules, reporting requirements, audits, etc.

  • Strong knowledge of ERISA rules and regulations as they apply to retirement and health and welfare plans, and the ability to apply that knowledge to plan administration and compliance enforcement.

  • Excel skills with the ability to create spreadsheets to analyze and audit data.

  • Ability to communicate ideas effectively verbally and in writing.

  • Ability to work collaboratively and successfully with a variety of internal and external individuals and groups to achieve goals and objectives.
