Position Summary
This is a high-impact, high-visibility role providing strategic and administrative support to the Chief Executive Officer (CEO) and Chief Financial Officer (CFO) at IMG Academy. The Executive Assistant serves as a critical partner in maximizing executive effectiveness by managing complex priorities, coordinating high-stakes engagements, and acting as a trusted liaison to internal leaders, external partners, and board-level stakeholders.
This role requires exceptional judgment, discretion, and attention to detail, along with the ability to anticipate needs, streamline operations, and proactively support both day-to-day execution and longer-term priorities. The ideal candidate thrives in a fast-paced, high-performance environment and operates with professionalism, adaptability, and a solutions-oriented mindset.
Position Responsibilities
  • Manage complex and dynamic calendars, including internal and external meetings, strategic planning sessions, and high-priority engagements
  • Coordinate domestic and international travel logistics, including detailed itineraries, accommodations, transportation, and expense reporting
  • Serve as a strategic partner to the CEO and CFO by anticipating needs, identifying potential challenges, and proactively supporting day-to-day operations
  • Draft, edit, and prepare executive-level communications, presentations, talking points, and reports
  • Handle highly sensitive and confidential information with the utmost integrity and discretion
  • Track, prioritize, and help drive execution of key deliverables and follow-ups across cross-functional teams
  • Lead planning and execution of board and executive-level meetings, including end-to-end event logistics (venue coordination, catering, materials preparation, IT alignment, and on-site support)
  • Manage board-related logistics and governance coordination, including travel, materials distribution, and board platform administration
  • Coordinate executive engagement opportunities, including conferences, speaking engagements, media, and podcasts
  • Oversee logistics for internal meetings and key campus engagements, ensuring seamless execution and alignment across stakeholders
  • Support daily transportation logistics for executives, including scheduling and coordination for on-campus movement and external travel needs
  • Serve as the primary point of contact for executive visitors, managing end-to-end experience and logistics
  • Represent the CEO/CFO office with professionalism and responsiveness in all communications
  • Execute special projects and additional responsibilities as assigned
  • Ensure adherence to all company policies, procedures, and business ethics standards
Knowledge, Skills, and Abilities
  • Bachelor’s degree required
  • 3+ years of executive or senior-level administrative support experience
  • Strong organizational and time management skills, with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel)
  • Strong interpersonal skills and ability to build relationships across teams
  • Demonstrated ability to handle confidential information with discretion
  • Detail-oriented, proactive, and adaptable
Preferred Skills
  • Bachelor’s degree in Business Administration, Communications, or related field
  • Experience in sports, education, or corporate environments
