Job Function: the Business Architect is responsible for driving clarity, alignment, and shared understanding across business and IT initiatives managed by the IT PMO. The role ensures that current-state operations, future-state changes, scope, impacts, and desired business outcomes are clearly defined and agreed upon before execution begins, enabling higher-quality decisions and predictable delivery.

This role addresses organizational gaps related to unclear requirements, misaligned expectations, and insufficient understanding of the impact of proposed change. Positioned within the PMO, the role operates across business, product, and delivery functions as a decision‑enablement and alignment partner.

Job Responsibilities:

Stakeholder Engagement & Alignment

  • Proactively engage with business stakeholders, Product Owners, Product Managers, and business leaders to understand objectives, drivers, risks, and constraints.
  • Facilitate structured discussions to surface misalignment, unclear scope, or competing stakeholder expectations early in the lifecycle.
  • Build and sustain stakeholder alignment and buy-in through clear articulation of business impacts, options, and trade-offs.

Business Analysis & Solution Architecture

  • Lead requirements discovery and analysis efforts, partnering with business stakeholders to understand current-state processes, systems, and pain points.
  • Develop and maintain current-state and future-state documentation, including process flows, system diagrams, data flows, integration points, and capability maps for identified initiatives.
  • Identify gaps between current and future state, documenting impacts, dependencies, risks, and transition considerations.
  • Translate future-state business needs into clear functional, non-functional, and technical requirements, user stories, and acceptance criteria.
  • Design end-to-end solution architectures that support the defined future state while aligning with enterprise architecture standards, security requirements, and technology roadmaps.
  • Evaluate solution options and document trade-offs related to scope, cost, timeline, risk, and long-term supportability.
  • Collaborate closely with development, infrastructure, security, data, and vendor teams to ensure solutions are feasible, scalable, supportable, and delivery ready.

Project & Agile Delivery Support

  • Act as a delivery partner to project managers, Product Owners, and Agile teams to support initiatives from intake through implementation.
  • Support Agile delivery activities including backlog refinement, sprint planning, reviews, and retrospectives, ensuring requirements are complete, prioritized, and ready for execution in relationship to initiatives identified.
  • Assist with scope definition, milestone planning, dependency management, and risk identification.
  • Track progress against key deliverables and proactively raise risks, issues, and dependencies to delivery teams and PMO leadership.
  • Support status reporting, stakeholder communications, and change impact analysis as needed.
  • Coordinate and support user acceptance testing (UAT) planning, execution, defect triage, and resolution.
  • Ensure initiatives align with PMO delivery standards, governance checkpoints, and Agile best practices.

Stakeholder & Vendor Collaboration

  • Build strong working relationships with business leaders, IT partners, and external vendors.
  • Serve as a trusted advisor to stakeholders by providing clear communication, solution recommendations, and delivery insights.
  • Coordinate with vendors to validate requirements, solution designs, and delivery expectations when applicable.

Governance, Risk & Quality

  • Ensure solutions comply with IT governance, architecture standards, security policies, and data privacy requirements.
  • Identify delivery and solution risks early and recommend mitigation strategies.
  • Support change management and transition-to-support activities to ensure successful adoption and operational readiness.

Current‑State and Future‑State Definition

  • Document end‑to‑end current‑state operations using swim lane process diagrams, RACI models, and business requirements.
  • Validate documentation to ensure a shared understanding across business and IT stakeholders.
  • Define future‑state operating models, including:
    • Future‑state process flows and updated RACIs
    • New or changing services
    • Operational, support, and enablement impacts
    • Produce artifacts that are decision‑ready and support effective governance and approval.
  • Other duties as assigned

 

Job Requirements:

Education:

  • High school diploma or equivalent required.
  • Bachelor’s degree in information technology, Computer Science, Business Administration, or a related field preferred.

Experience:

  • 2-4 years of experience in IT business analysis, solution architecture, or related roles, 5+ years preferred.
  • Demonstrated experience supporting Agile or hybrid Agile delivery teams.
  • Proven ability to translate complex business needs into actionable technical and functional solutions across multiple system

Preferred Certifications:

  • CBAP, PMI-PBA, SAFe, Agile certifications, or architecture-related certifications are a plus.

Technical & Professional Skills:

  • Strong understanding of application architecture, system integration, and data flows.
  • Familiarity with multiple delivery methodologies (Agile, Waterfall, Hybrid).
  • Ability to work effectively in a PMO-governed delivery environment.
  • Expertise in business analysis, requirements elicitation, and Agile delivery, with experience using ServiceNow and Azure DevOps.
  • Excellent communication and stakeholder management skills, with proficiency in SharePoint for documentation, collaboration, and knowledge sharing.
  • Strong solution architecture and systems-thinking capabilities, with the ability to translate business needs into scalable, supportable technology solutions.
  • Proven ability to partner across cross-functional teams to clarify, prioritize, and prepare requirements for execution.
  • Demonstrated ability to navigate complexity, ambiguity, and competing priorities in a fast-paced delivery environment.
  • Estimated Travel Required: <10%
  • This position will be based out of the national office in Indianapolis, Indiana. Current work environment is hybrid; 2 days in the office and 3 days are remote.
