The Business Office & Golf Course Accounting Assistant supports the day-to-day financial operations of Stanford Athletics, with a primary focus on processing credit card transactions and assisting with routine accounting functions for the department’s golf course operations. This role also provides financial support to Athletics leadership by assisting with financial models, preparing analyses, and running reports in Oracle. The ideal candidate is detail-oriented, organized, and comfortable working across multiple business units in a fast-paced, team-oriented environment. The expected pay rate for the position is $25/hr for at least 20 hours/week, with an end-date of May/June 2026.

Key Responsibilities:
Accounting Support & Transaction Processing
  • Process, reconcile, and record daily credit card transactions and invoices for the university-owned golf course.
  • Monitor transaction activity ensuring accuracy and compliance with university policies.
  • Assist with various month-end and fiscal close projects, including data entry, reconciliation, and financial documentation.
  • Enter, review, and maintain financial data in accordance with Stanford and Athletics Business Office standards.
Financial Modeling & Reporting
  • Support the Athletics finance team in building and maintaining financial models for budgeting, forecasting, and operational planning.
  • Run and distribute financial reports in Oracle, ensuring accuracy and timely delivery.
  • Assist in compiling data for budget reviews, variance analyses, and ad hoc reporting.
Cross-Department Support
  • Partner with the golf course operations team and athletics program administrators to gather information, resolve discrepancies, and maintain strong communication.
  • Provide general administrative and financial support to the Business Office as needed.

To be successful in this role, you will bring:
  • High School diploma or equivalent and two years’ work experience.
  • Strong attention to detail and high level of accuracy.
  • Proficient in Microsoft Excel and other financial software systems.
  • Ability to manage multiple priorities and meet deadlines.

In addition, our preferred qualifications include:
  • Associate’s or Bachelor’s Degree in Accounting, Finance, or a related field.
  • At least two years of relevant work experience.
  • General knowledge of Golf Course functionality
  • An understanding of/experience with the University’s financial systems (Oracle Financials) or other similar systems.
