JOB SUMMARY:
The Business Services Assistant provides vital administrative and operational support to the Rose Bowl Operating Company (“RBOC”) Events Department. This role assists with day-to-day departmental functions, including inventory management, data tracking, enterprise event recaps, and preparation of documentation for meetings and events. Reporting to the Business Manager, the Business Services Assistant ensures consistency in departmental processes, contributes to operational efficiencies, and plays an integral role in the execution of major events.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Assist with administrative functions of the Events Department, including file organization, form updates, and invoice management.
- Help develop and maintain departmental Standard Operating Procedures (SOPs) and checklists.
- Input and organize data to support departmental analytics, gathering actionable insights across all events.
- Support inventory management for the Events Department, including maintaining accurate records of supplies, equipment, and event-related assets.
- Provide support in the pre- and post-event settlement processes for assigned events, including compiling expense backup, organizing documentation, and assisting with reconciliation efforts.
- Aid in implementing process improvements by identifying inefficiencies and recommending enhancements.
- Assist with Market Research Projects as assigned.
- Provide support pre-event, on event-day, and post-event during all major events.
- Maintain and update various event databases and calendars.
- Assist with research, onboarding, implementation, and management of new events-related technologies.
- Assistance with departmental purchasing activities and vendor management.
- Provide general administrative support to the Business Manager and Executive Director - Events as needed.
Qualifications:
- Ideal candidate will have an interest in the sports/entertainment industry with a background in business, facility operations or hospitality.
- Must be able to work up to 20 hours a week.
- Candidate should be self-motivated, organized, professional, and detail oriented.
- Strong verbal and written communication skills.
- Flexibility to work long days, evenings, weekends, and holidays, if necessary.
- Must have a working knowledge of Office 365.
- Must have the ability to multi-task in a fast-paced environment.

Pay Range: $18.00 - $25.00 per hour depending on experience
