POSITION: Events & Team Operations Assistantship 
DEPARTMENT: Events & Operations   
REPORTS TO: Manager of Events and Team Operations and CAO
STATUS: Temporary Full-Time, Non-Exempt   
 
SUMMARY:   This is an exciting opportunity for an individual interested in a career in events or team operations.  The assistantship will observe, learn and develop skills necessary to explore career opportunities within the chosen field.   

 Salary: $2260 monthly /Duration: 6.5 months /Tentative start date:  Fall 2024

ESSENTIAL FUNCTIONS
 
  • Develop workings on how a major non-profit sports and event organization works and how it relates to the community
  • Interact with the Orange Bowl Host Committees in preparation for hosting the Orange Bowl teams during bowl week
  • Exposed to research, presentation and management of annual plans, budgets, agendas, and task lists
  • Learning the basic fundamentals of events and team operations up until and during Orange Bowl week 
  • Learning the fundamentals and participating in our Orange Bowl Youth Sports Program which includes the “Park of the Week” program, Orange Bowl Cheer Championships, and other programs as it relates to the Orange Bowl community outreach
  • Gain knowledge about the administration of agreements and budgeting for events
  • Exposed to the development, presentation and management of event staffing plans and event operational task lists.
  • Be trained in the planning of event meetings (both internally and externally)  
  • Enhance interpersonal communication skills by attending various South Florida business functions, select industry conventions, business seminars and meetings 
  • Learn about team gift selections and brainstorm gift ideas as it pertains to the team classifications
  • Participating in the Capital One Orange Bowl Host Committee activities including: 
  • Learning about the scheduling of OBC Host Committee meetings, creating meeting agendas and taking minutes during meetings 
  • Being exposed to team arrivals, parties and dinner to include event day logistics, décor’, entertainment, gifts, set-up and breakdown of the event and transportation for outings 
  • Learn about the logistics of game officials travel, entertainment, events, and lodging 
  • Enhance skills by participating with group specific outings such as the Welcome Receptions, Team Outings, Coaches Outings, Spouses Outing and Children’s Outing including the administrative elements of scheduling dates, researching venues, and gift distribution for each group
  • Other tasks as assigned by the Chief Administrative Officer
  • Learn elements of hotel events thru participation in the Team Welcome Reception, the Official Party Hospitality Room and the Players Hospitality Room & Snack Nights
  • Exposure to team transportation, airport arrivals, bus and limo transportation, and other logistics such as courtesy car assignments and distributions
  • Learn about the development and production of Team Participant Manuals,  Team Communication Manuals, Hospitality Manuals,  and the Game Officials Manual
  • Routinely make updates to the participant manual on a weekly basis
  • Participate in research and inventory processes associated with team gifts, site visits, and game day activities
  • Learn about ensuring quality of event and timeline adherence
  • Other opportunities as may be available
 
QUALIFICATIONS 
 
  • Bachelor’s degree preferably in Sports Management or related field
  • Highly organized and attention to detail.
  • Excellent communications and interpersonal skills.
  • Proofreading skills required. 
  • Strong record of event achievement. 
  • Proficiency in MS Outlook, Word, Excel, PowerPoint, Photoshop, Publisher and typing skills
  • Ability to lift a minimum of 20 pounds
 
Note:
  • Must be willing to work 40 hours a week with overtime being paid for additional hours as needed.
  • Must possess a valid driver’s license
