POSITION: Event & Game Operations Assistantship
Orange Blossom Classic, Boca Raton Bowl, Capital One Orange Bowl (EVENTS)
DEPARTMENT: Events and Operations
REPORTS TO: Chief Administrative Officer
STATUS: Temporary Full-Time (On-Site)
 
SUMMARY:   This position provides expert support to the game operations of the Orange Blossom Classic, Boca Raton Bowl and the Capital One Orange Bowl (collectively EVENTS) for which the Orange Bowl Committee has been contracted to support. Additionally it will support the Events Department with duties as it relates to the OBC Festival, Community and Game Events.

Salary: $2260 monthly /Duration: 8 months /Tentative start date:  Summer 2024
 
ESSENTIAL FUNCTIONS:
  • Serve as a primary game and event operations contact for EVENTS
  • Facilitate communication between Orange Bowl Committee’s Events and Operations Department and the EVENTS
  • Assist in creation of event plans for all EVENTS
  • Help EVENTS staff with all youth events, including management of coaching database
  • Support staff with all EVENTS day needs from setup to breakdown
  • Work with site contacts to plan and execute EVENTS
  • Work with sales team to fulfill needs of sponsors at EVENTS
  • Serve as main contact for EVENTS Fan Fest
  • Assist with game day ops and in-stadium promotions for EVENTS
 
TENTATIVE WORK TIMELINE
MAY:
  • Introductions to key EVENTS contacts
  • Introductions to sales teams for EVENTS
  • Overview of current sponsorship fulfillment and events schedule
  • Event-by-event planning
  • Develop pre-event tasks for all events
  • Develop and begin distribution of planning guides
JUNE:
  • Assist with the activation of sponsor fulfillment activations prior to EVENTS 
  • Begin planning of bowl week events
  • Meet with bowl week EVENTS site contacts
  • Work with Hard Rock & FAU stadium on game day plans and needs 
  • Begin collecting sponsor planning guides and communicate needs to vendors
  • Assist in editing manuals and participant guides
JULY-AUGUST:
  • Take inventory and begin ordering of all signage needs for EVENTS
  • Final site visits pre and post team selections
  • Continue working with stadium on game day plan and needs
  • Develop Boca EVENTS Fan Fest layout and distribute to necessary contacts and vendors
  • Work with stadium and police agencies to develop strategy for game day traffic
  • Assist in development of script for game days as requested
  • Work on needs for trophy presentations
  • Breakdown and create inventory checklist for all signage and EVENTS owned items
SEPTEMBER-DECEMBER:
  • Work with sponsors and vendors to finalize setup plans for events for prior to the games
  • Assist with team announcement and site-visits
  • Assist at all EVENTS including Holiday and Coaches events
  • Administer plans for EVENTS setup, game day and breakdown
  • Assist with creation of scripts for stages at Fan Fest as requested
  • Work with both teams to facilitate team walk-throughs
  • Serve as on-site contact for all setup needs for EVENTS including: sponsors, vendors, ESPN TV Production, etc.
  • Manage Fan Fest timelines to ensure fans are in the stadium by kickoff
  • Assist stadium staff with game day ops including in-stadium promotions and overall flow of game script
  • Assist with the management of trophy ceremonies
  • Manage EVENTS breakdown of assigned gameday events
 
GENERAL
  • Assist with the research, presentation and management of annual plans, budgets and purchasing
  • Assist in all EVENTS projects and requests as requested
  • Collective assistance of the administration of agreements and budget for each assigned event
  • Assist in the development, presentation and management of event staffing plans
  • Development, presentation and management of event operational task lists
  • Assist event meetings (both internally and externally) including but not limited to:
    • Scheduling
    • Agendas
    • Minutes
  • Other tasks as assigned by Chief Administrative Officer
 
QUALIFICATIONS: 
  • Bachelor’s degree. 
  • Highly organized and attention to detail. Excellent communications and interpersonal skills. Proofreading skills required. 
  • Demonstrated record of event achievement. 
  • Proficiency in MS Outlook, Word, Excel and PowerPoint.  Photoshop and Publisher a plus.
  • Must be available to work all EVENTS game days (weekdays and some weekends) including but not limited to the Orange Bowl Committee events.
  • Must be willing to work 40 hours a week with paid overtime as necessary
  • Must be willing to work in both Miami Lakes and Boca Raton Offices (during Boca Raton Bowl duties)
  • Must possess a valid driver’s license and have available transportation means.
  • Other tasks as assigned by Orange Bowl Committee.'
