Role Summary: The Team Operations and Pregame Parties Seasonal Associate will assist in the successful execution of the Guaranteed Rate Bowl visiting team operations and Fiesta Bowl Pregame Parties. The role will involve assistance with general game day operations, enhancing the overall event experience. Also, the position will provide robust support across various events, ensuring seamless coordination and exceptional execution of all assigned tasks.
Key Responsibilities:
  • Assist with all aspects of Guaranteed Rate Bowl visiting team operations, including managing stadium and hotel hospitality, creating informational binders for suite staff, coordinating banquet orders, and organizing layouts and rentals for hospitality suites. 
  • Assist in coordinating the design, production, and installation of hotel signage to ensure clear and effective visual communication throughout event venues. 
  • Assist with general hotel operations, managing logistics from team arrival to departure, and coordinate travel arrangements, including flight and hotel bookings for campus visits. 
  • Assist in planning and executing Fiesta Bowl Pregame Parties, overseeing operations and logistics for Fan Fest, this includes determining layouts, ordering rentals, submitting graphic requests, coordinating with committees and volunteers for staffing, building run of shows, defining staffing responsibilities, setup and breakdown of event infrastructure, obtaining necessary permits from city, state, or county, and managing liquor license applications.  
  • Assist with coordinating Fiesta Bowl team alumni parties 
  • Assist with Guaranteed Rate Bowl general operations and logistics such as setup and breakdown of event infrastructure, vendor and volunteer relations, and overall gameday tasks.
  • Assist with the daily responsibilities of the Events Department, both onsite and offsite. Duties include coordinating order and delivery schedules for events, handling written and verbal communications such as phone calls and emails, and collaborating with interns, staff, volunteers, vendors, and sponsors.  
  • Manage contact lists, data entry, run of shows, production notes, and event overviews.  
  • Prepare materials for meetings, manage committee meetings, and assist with the storage, organization, and handling of event-specific items and supplies in both warehouse and office settings. 
  • In addition to the responsibilities outlined, this role requires flexibility to adapt to evolving organizational needs, undertake task beyond those listed, and contribute to projects as they arise, ensuring the team’s objectives are achieved efficiently and effectively.  
  • Availability of additional hours during event periods, including nights, weekends, and holidays, is required. 
  •  An Associate's or Bachelor's degree in a related field (such as Sport Management, Marketing, Business Administration, or Communications), or currently pursuing such a degree. 
  •  Relevant experience in the sports industry and event management preferred.
  • Excellent written, verbal, and organizational skills.
  • Experience with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, etc. 
  • Adobe Creative Cloud (Acrobat Pro, InDesign, etc.), Smartsheet and JotForm experience helpful, but not required.
  • Ability to adapt, multi-task and work as a team under tight deadlines.
  • Ability to effectively perform the listed responsibilities and tasks with or without reasonable accommodations.
