What to Expect
The Assistant Director, Event Management & Championships contributes to the Internal Operations team in the areas of event management, football game, football gameday operations, the planning and execution of NCAA and conference championships, game and facility scheduling, game contracts, camps, and other duties as assigned. This position is charged with working independently as well as collaboratively on athletic events, projects, and initiatives throughout the Internal Operations department. This individual is responsible for communicating with executive staff members, coaches, cadet-athletes, visiting teams and officials, and other Army West Point Athletic Association Inc. (“AWPAA”) and United States Military Academy (“USMA”) constituents in a professional, personable, and highly respectful manner.
What You'll Do
50% Event Management & Game Operations
The Assistant Director, Event Management & Championships contributes to the Internal Operations team in the areas of event management, football game, football gameday operations, the planning and execution of NCAA and conference championships, game and facility scheduling, game contracts, camps, and other duties as assigned. This position is charged with working independently as well as collaboratively on athletic events, projects, and initiatives throughout the Internal Operations department. This individual is responsible for communicating with executive staff members, coaches, cadet-athletes, visiting teams and officials, and other Army West Point Athletic Association Inc. (“AWPAA”) and United States Military Academy (“USMA”) constituents in a professional, personable, and highly respectful manner.
What You'll Do
50% Event Management & Game Operations
- Serve as the primary event manager for assigned sports as designated by the Assistant Athletic Director, Event Management & Championships.
- Coordinate with visiting teams, game officials, facilities staff, event support staff, and other necessary personnel for assigned athletic events.
- Prepare and distribute game notes, visiting team information, officials’ information, operational timelines, and other event-related materials for assigned events.
- Coordinate event setup and breakdown, including signage, credentials, field/court setup, locker rooms, officials’ areas, hospitality, and other event-related needs.
- Collaborate with key internal and external constituents, including USMA and United States Army Garrison, who contribute to the operation of home intercollegiate athletic events.
- Serve as a liaison with athletic communications, marketing, ticketing, facilities and other support units for assigned events.
- Serve as the secondary event manager for events as required.
- Lead the preparation and management of the master sports calendar for the athletic department, including the execution of required game contracts.
- Assist with the assignment of game officials and the processing of related invoices and payments.
- Assist in the management and oversight of third-party contractors hired to support home competitions.
- Assist with post-event follow-up, including incident reporting, vendor feedback, invoices, and operational improvements.
- Assist in the planning and execution of neutral-site competitions, including, but not limited to, Army-Navy Football and Bowl Games.
- Assist in the planning and execution of outside user events (i.e., concerts, graduation, professional team visits).
25% Football Gameday Operations
- Assist the Assistant Athletic Director, Event Management & Championships with football gameday operations, including, but not limited to, stadium operations, traffic, parking, shuttles, golf carts, signage and coordination with internal and external support units.
- Assist with the preparation and execution of football gameday timelines, staffing plans, operational checklists, and postgame follow-up.
15% Championship Planning & Execution
- Lead the planning and execution of NCAA and conference championships.
- Assist with championship manuals, bid materials, facility walkthroughs, staffing plans, parking plans, team packets, credentials, hospitality, signage, and NCAA/conference requirements.
- Coordinate with conference and NCAA representatives, participating teams, officials, and internal departments to support successful championship operations.
- Collaborate with key internal and external constituents, including USMA and United States Army Garrison, who contribute to the operation of championship events.
10% Other Duties
- Assist in ongoing and future strategic initiatives in support of internal operations.
- Communicate with internal and external stakeholders to ensure the success of assigned initiatives.
- Other duties as assigned.
