We are seeking an experienced and motivated Coordinator, Facility Management to join our team. This position provides daily administrative support to the Engineering and Facilities departments. This position must present a professional image, be able to handle multiple tasks and have strong organizational and communication skills. The Coordinator, Facility Management acts as a liaison between employees, payroll and the Human Resources department.

 

What You Will Do:

  • Provide administrative support including phones, email, calendar management, meetings, office supplies, files, contracts, and general duties.
  • Process payroll, personnel documentation, overtime reports, invoices, and purchase orders; assist with budget tracking and reconciliations.
  • Field maintenance requests, dispatch engineering/operations calls, and coordinate monthly shop meetings and safety documentation.
  • Manage engineering work order system: create, track, and report on work orders and preventative maintenance programs.
  • Maintain department records, certificates, manuals, insurance documents, and provide support to other departments as needed.
  • Other duties as assigned.

What We Need from Our Coordinator, Facility Management:

  • Strong organizational, multitasking, and time management skills with keen attention to detail.
  • Excellent written/verbal communication and interpersonal abilities to collaborate with diverse stakeholders.
  • Proficient in Microsoft Office Suite and facilities management software, such as CAFM, CMMS.
  • Problem-solving mindset with a proactive approach and basic knowledge of building systems/maintenance.

Experience/ Education Requirements:

  • High school diploma or GED.
  • Degree in Facilities Management, Business Administration, or related field is a plus.
  • 2-3 years of experience in facilities management, office administration, or related field a plus.

  • Ability to transit throughout the arena for long periods of time.
  • This position works mainly indoors, removed from extreme weather; exposure to weather is <5%

  • Must be able to carry on a conversation both on the phone and in-person.
