JOB SUMMARY:

 

The Administrative Assistant will be responsible for providing administrative coordination and support to multiple C-Suite level executives, assuming responsibility for a wide variety of administrative functions. A positive corporate image, commitment to the organization’s success, and ability to work with confidential and sensitive matters is essential.

 

  • This is a full time position that will work onsite in downtown Cleveland, OH a minimum of 40 hours per week.
  • This role will primarily work Mon-Fri, with occasional evening & weekend responsibilities. Candidates must have flexible availability and be prepared to work long hours when necessary. 
  • Local candidates preferred.  

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

 

  • Oversee daily calendars, schedule meetings, and coordinate travel and accommodations.
  • Prepare agendas, presentations, reports, and meeting materials; sometimes attend meetings to capture follow-up items or represent the executive.
  • Screen calls and emails, manage the executive’s inbox, and serve as a gatekeeper to prioritize communications.
  • Organize special projects, corporate events, and occasionally personal engagements for the executive.
  • Prepare purchase orders / expense reports and other administrative documentation as needed.
  • Liaise with internal teams, board members, vendors, and external partners to facilitate executive objectives.
  • Provide backup support to other administrative assistants and collaborate with the broader admin team to ensure seamless operations.
  • Assist in event preparation, coordination and execution for internal and external events. 
  • Navigate complex interpersonal dynamics, maintain composure under pressure, and represent the executive’s brand with professionalism.
  • Handle sensitive information with the utmost integrity and professionalism.
  • Proactively anticipate needs, resolve issues independently, and adapt to rapidly changing priorities and environments.
  • Other duties as assigned. 

 

REQUIRED QUALIFICATIONS:

 

  • Associates Degree required, Bachelor's Degree preferred.
  • 2+ years of experience directly supporting a C-Suite level executive in an administrative capacity.  
  • Proficient to advanced skill set with basic office applications, including Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to manage complex, shifting calendars, coordinate meetings across multiple time zones, and prioritize competing demands.
  • Ability to work independently, anticipate executive needs, and act without waiting for direction.
  • Comfortable in fast-paced, high-stakes environments where priorities can shift quickly.
  • Must possess excellent organizational skills and high attention to detail.
  • Ability to draft emails, memos, and other correspondence clearly and professionally.
  • Ability to handle confidential or sensitive information appropriately.
  • Ability to maintain a positive and helpful attitude in all interactions.
  • Must demonstrate a high level of maturity, integrity, loyalty, initiative, creativity, and sound judgment.
  • Must be available to work nights, weekends, and events as needed.
