The Executive Assistant to the SVP of People Strategy plays a critical role in providing high-level administrative and project support within the HR department. You are responsible for managing the calendar, communications and day-to-day operational needs of the SVP of People Strategy, while also supporting HR initiatives across recruiting, onboarding, reporting and employee engagement. To be successful you need to be detail-oriented, proactive, professional and capable of handling confidential information with discretion.
You will work independently on assignments and collaborate with all levels of the company. You will present yourself in a professional manner when interacting with internal and external contacts as a representative of HSE. You will exercise good judgment in a diversity of situations with outstanding customer service skills. Strong written and verbal communication, administrative and organizational skills and the ability to maintain a realistic balance among multiple priorities is necessary for success in this role.

Essential Duties and Responsibilities
Administrative Support
- Manage the SVP of People Strategy’s complex calendar, including meetings, travel and appointments.
- Screen and prioritize incoming communications, responding on behalf of the SVP of People Strategy when appropriate.
- Prepare, proofread and format reports, presentations, memos and other correspondence.
- Maintain accurate and confidential filing systems for HR documents and executive records.
Recruiting & Onboarding Coordination
- Schedule all candidate interviews across the organization in coordination with HR recruiters and hiring managers.
- Handle all logistical details for virtual and in-person interviews, ensuring a seamless candidate experience.
- Coordinate first-day onboarding meetings for new hires, including orientation sessions, IT setup and department introductions.
- Communicate onboarding schedules to new hires and internal stakeholders.
HR Project & Operational Support
- Assist in preparing HR reports, dashboards, and presentation materials.
- Support HR programs such as performance reviews, employee engagement surveys, and training initiatives.
- Track and organize key department goals, strategic initiatives, and timelines.
- Help coordinate department budgets, process invoices and manage vendor communications.
Meeting & Event Planning
- Plan and coordinate HR leadership meetings, town halls, offsites and team events.
- Prepare agendas, take minutes and ensure follow-up on action items.
- Work cross-functionally with other executive assistants to manage enterprise-wide scheduling.
Confidentiality & Relationship Management
- Handle sensitive employee and company information with the highest level of confidentiality.
- Serve as a liaison between the SVP of People Strategy and internal/external stakeholders, representing the HR function with professionalism and diplomacy.

Required Skills, Experience, and Abilities
To perform essential job functions, you should demonstrate the following competencies:
- Three years of related experience working in an executive assistant role
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Strong organizational and communication skills to handle sensitive situations, and confidential information
- Knowledge of HR terms and recruiting process preferred.
- Exceptional time management skills; proven track record to meet deadlines.
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Business sense - strong business sense and can decipher priorities and make sound judgment calls when needed.
- Presents self in professional manner and have ability to interact with all levels of organization and outside contacts.
- Dedication to excellence - perform duties at the highest level possible on a consistent basis.
