SUMMARY

The Personal Assistant (PA) will report to the CEO and work side by side with the CEO’s Executive Assistant (EA). The PA will primarily provide personal support to the CEO and as needed may collaborate with the EA to also provide executive assistance to achieve full coverage for the office of the CEO.

The PA will be expected to use independent judgment to organize and prepare travel arrangements, manage expenses and expense reports, manage correspondence, hospitality and special requests as well as provide administrative support to the executive. They must become familiar with BSE’s working environment, the CEO’s professional and social network and be current with ongoing company projects. Work hours and work location will be flexible as needed based on the CEO’s schedule and needs. The Personal Assistant should always be five steps ahead, thinking proactively and suggesting new ways to contribute while maintaining a positive attitude, demonstrating discretion, and putting the CEO in the best light possible at all times.

WHAT YOU WILL DO:

  • Arrange complex international and domestic travel including detailed itineraries.
  • Confirm locations, attendees, and times for internal and external meetings.
  • Plan, organize, and oversee CEO hosting and hospitality functions, encompassing evening and weekend events for Nets, Liberty, and concerts, along with private gatherings at homes and restaurants, ensuring exceptional guest experiences and flawless execution. Act as host to all CEO guests as needed.
  • Prepare monthly expense reports.
  • Perform complex and confidential administrative responsibilities.
  • Handle special requests for clients, which may include game tickets, tickets to other events, merchandise, gifts, etc.
  • Coordinate work with service providers as needed, including driver. Manage utilities, restaurant reservations and pre-arrangement of dietary preferences. Manage, purchase, writing, and delivery of gifts, flowers, cards including holiday cards and gifts.
  • Interact with the senior level management team and ownership group.
  • Ensure personal follow ups for CEO correspondence as well as support ongoing charitable initiatives.
  • Act as backfill to the EA in their absence as needed, including full schedule management; coordinate all aspects of CEO’s schedule and activities with EA.
  • Perform all other duties as assigned.

WHO YOU ARE:

  • 3-5 years’ experience in an administrative role supporting multiple global executives.
  • Experience working in a global business landscape required.
  • Strong familiarity with Microsoft Excel, Word, PowerPoint, and Outlook.
  • Uncompromised ability to protect the confidentiality and privacy of the CEO in addition to company documents and records.
  • Flexibility to work late hours, early mornings and/or weekends as needed.
  • Truly outstanding customer service and interpersonal communication skills.
  • Keen attention to detail, strong conflict resolution, problem solving and decision-making skills.
  • Flexible and reliable standout colleague, always acting in the best interest of the CEO and the company as a whole.
  • Ability to create and maintain productive, positive relationships through strong communication and interpersonal skills.
  • Strong ability to manage your own time and prioritize tasks.
  • Bachelor’s Degree required.

TRAVEL REQUIREMENTS

May be required to travel out of town on rare occasions (<5% travel); trips may require air travel and/or overnight stay for one or more nights.

SALARY RANGE

$75,00 - $95,000

WORK ENVIRONMENT

Works primarily in an office environment (five days / week) and upon request will be expected to attend games and other events on evenings, weekends, and holidays.
