Job Summary:
The People Operations Coordinator role is responsible for providing an exceptional employee experience during an employee’s life cycle from onboarding to offboarding. The role is an integral bridge between the People Operations team and the wider HR teams to support our business and employees. The People Operations Coordinator role is an integral part of the People Operations team, seamlessly delivering all people operations aspects of the employee experience to the business by partnering with many stakeholders throughout the organization.
Key Responsibilities:
New Hire Preboarding
- Manage new hire preboarding for full-time and part-time staff from the moment their offer is signed ensuring a seamless and positive experience for new hires across all team member types.
- Provide new employees with resources and internal tools to ensure they are set-up for success on their first day at the organization (company intranet links, help-documents, how-to resources)
- Ensure employees complete all required onboarding tasks both company requirements and federal/state requirements.
- Identify and analyze patterns and implement solutions to ensure a seamless new hire experience.
- Ownership of the content and continuous improvements of Rookie Briefing and related pre-boarding and orientation related documents and experience.
Employee Lifecycle Operations
- Work with leaders and HRBPs to process team member job changes in Workday ensuring correct information is entered in a timely manner to meet business objectives and payroll deadlines. Inclusive of processing manager changes, department transfers, promotions, compensation changes and bonus payments.
- Timely completion and assistance of position and requisition management following the correct process and procedures (creation, closures, movement) ensuring the record reflected is the most up to date.
- Ensure data integrity and cleanup between systems by conducting regular audits.
- Work with employees on employment verifications and other employment related needs and questions.
Team Member Support
- Develop trusted relationships with business leaders and employees.
- Point of contact for employee questions and requests and escalate to stakeholders as necessary.
- Run, manipulate, and distribute reports for regularly scheduled and ad hoc requests to appropriate parties, including business leaders and HRBPs.
- Manage education on procedures pertaining to system management and processes (position management, req creation, job profile cleanup project, and other areas)
- Working alongside other HR functions to ensure a smooth employee experience for current, new and existing employees
Employee Offboarding
- Manage employee off-boarding process including Workday workflow, communication with employee and managers, and offboarding documentation.
- Ensure accurate tracking and completion of offboarding tasks (payroll notifications, exit surveys, IT tickets)
- Manage unemployment claims.
Additional Responsibilities
- Participate in special projects and ad hoc tasks as required.
- Work with larger team to continuously streamline and enhance various employee touchpoints across the entire employee lifecycle.
Requirements:
- 1-2 Years of Human Resource Operations experience required
- Workday or any other HRIS system experience required (Workday preferred)
- Proficiency with Microsoft Suite applications
- Ability to operate in fast-paced, rapidly evolving environment.
- Prior demonstrated work experience handling confidential and sensitive data as part of job responsibilities required.
- Strong communication (written and verbal) skills, presentation skills and customer service skills required.
- Think expansively and creatively to independently solve problems.
- Must be able to prioritize and coordinate multiple daily tasks and work within tight deadlines.
- Must have extremely strong organization skills, attention to detail and ability to adapt to changing priorities.
