At the heart of it all is the Special Events Manager, orchestrating each moment with precision and passion! Whether working with clients, internal teams, or fans, they ensure every event leaves a lasting impression — one that’s nothing short of spectacular. The Special Events Manager leads the planning and execution of all special events at Sutter Health Park — from sales and budgeting to vendor coordination, permitting, and staffing. Working directly with clients, the manager ensures seamless logistics and collaborates with internal teams including Food & Beverage, Facilities, Guest Services, Security, Partnerships, and Marketing. They also manage the facility calendar and communicate event details during weekly stakeholder meetings, supporting both special events and baseball operations.

Special Event Responsibilities:
Book and sell event spaces to corporate, private, and internal clients, managing the full life cycle of the event from initial sales conversation and planning through execution, invoicing, and follow-up to generate repeat and referral business.
Onsite leadership during all special events being held at Sutter Health Park.
Manage event logistics including assisting clients with booking vendors, securing permits, booking talent, catering needs, AV needs, furniture set-up, staffing needs, set-up and tear-down of events, and final cleanup.
Ensure all event clients and vendors have provided the appropriate documents including permitting, waivers, certificates of insurance, etc.
Develop and enhance the special event planning process including standardized floor plans, standardized rental rates, and vendor lists with a focus on streamlining the experience for the client and internal partners.
Develop an annual special event marketing plan to include sales content and collateral.
Prepare detailed and organized event manifests and know before you go communication for each event and communicate the details effectively with internal and external stakeholders.
Prepare post event documents including financial and attendance reports, post event notes, suggested improvements, and follow-up on any outstanding items and payments.
Submit and ensure all purchase orders and receipts for events are processed in a timely manner to maintain positive vendor relationships.
Work with internal and external partners for any signage needs for events and surrounding areas.
Baseball & Facility Responsibilities:
Maintain the Sutter Health Park Facilities Calendar in real time including all facility use and pertinent details for internal reference and planning.
Act as the liaison between the Athletics, ACE Parking, Advanced cleaning services, Legends Hospitality, internal departments, and local municipalities for all facility usage.
Maintain the Sutter Health Park website ensuring updates are timely and inquiries are responded to by the appropriate party.
Support the creation and maintenance of Sutter Health Park manifests, presenting them for discussion on a weekly basis, to ensure all stakeholders are up to date on baseball games and event needs.
Required Skills/Abilities:
Valid drivers license and ability to travel locally required.
Proficient using Adobe Suite, Square, and Microsoft 365 Suite. Experience with Momentus Elite is preferred.
Prior experience referencing and following client contract terms required. Experience developing and negotiating client contracts preferred.
Proven ability to make in the moment decisions in response to client requests, weather, facility conflicts, or other environmental factors.
Proven ability to lead others through the life cycle of an event, including unforeseen challenges, in a calm levelheaded manner to ensure repeat sales and repeated internal stakeholder buy in.
Schedule Expectations:
In-person work, no hybrid schedules available.
Ability to meet with clients as their schedule permits for facility walk-through and planning including outside of normal business days and hours.
Ability to work nights, weekends, and holidays.
Ability to work extended hours during event set-up, execution, and tear down.
Ability to work select baseball games throughout the year.
Education and Experience:
Bachelor’s degree in business, hospitality, marketing, venue management or related field strongly preferred.
Minimum 3 years’ experience booking and selling clients for event spaces.
Minimum 6 years’ experience managing event execution in a multi-use venue setting, including vendor management, permitting/agency communication, developing event floor plans, and event logistics.
Physical Requirements:
Must be able to traverse all areas of the ballpark and quickly respond to needs during an event or event set-up.
Must be willing and able to work in all weather conditions including rain, wind, and hotter than average temperatures.
Must be able to lift up to 25 pounds at times.
Compensation:
The expected annual base salary for this role is $55,000-$70,000 plus an annual bonus based on achieving and exceeding department and organizational revenue goals. Final offers for this role will be made within the parameters of the salary range provided. Years of experience, skills, and other factors are considered when determining the salary offered.
