The Executive Operations Administrator is a key driver of both productivity and culture within the Sacramento River Cats front office by helping power the day-to-day operations while keeping the energy and experience of the workplace strong. As a trusted partner to the President and Executive Leadership team, this role blends high-level administrative support with hands-on operational coordination, ensuring everything runs smoothly behind the scenes.

From managing executive priorities and communications to helping create memorable employee and client experiences, this role sits at the center of it all. Key Responsibilities

  • Provide consistent, accurate, and timely administrative support for the President and Executive Leadership team.
  • Serve as the first point of contact for the President, addressing internal and external inquiries with professionalism and discretion.
  • Manage complex executive calendars, scheduling and prioritizing meetings, conference calls, travel, and events.
  • Plan and host client and partner events on behalf of the President, ensuring seamless execution and elevated experiences.
  • Prepare and manage confidential correspondence, reports, presentations, and meeting materials.
  • Oversee executive suite entertainment operations to deliver premium experiences for key clients and guests.
  • Coordinate logistics for special events, programs, and conferences including venue setup, catering, and invitations.
  • Handle monthly reconciliation of personal and corporate credit card statements.
  • Manage ticket allocations, filing systems, and executive records including agendas, minutes, and resolutions for corporate and Foundation meetings.
  • Collaborate with ownership, government officials, and internal departments to support organizational initiatives.
  • Maintain inventory and order office supplies for the executive office.
  • Maintain the cleanliness and organization of executive office spaces and shared areas, including the breakroom, ensuring a professional and welcoming environment at all times.
  • Coordinate with janitorial services to address cleaning needs, schedule services, and uphold facility standards.
  • Plan and execute employee engagement events and experiences, including both in-office and off-site activities (e.g., Grand Slam, bowling outings, team events), which may occur outside of normal business hours.
  • Perform other duties and special projects as assigned.

 

Required Skills & Abilities

  • Minimum 5 years of professional experience providing high-level administrative support to senior executives.
  • Proven ability to plan and execute executive-level events and client engagements.
  • Exceptional communication skills, both written and verbal, with a professional and approachable demeanor.
  • Strong organizational and time management skills with the ability to handle multiple projects simultaneously.
  • Demonstrated experience handling confidential information with discretion and integrity.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to remain calm, adaptable, and solution-oriented under pressure.

 

Education and Experience

  • Bachelor’s degree preferred.
  • Experience in sports, entertainment, or hospitality industry strongly preferred.

 

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Availability to work evenings, weekends, and events as required.

 

Compensation

This position is a full-time, exempt role with an expected annual base salary of $70,304 – $75,000. Final offers will be made within the parameters of the salary range provided.
