This position is responsible for providing a wide range of administrative assistance to the President and Executive Leadership of the Sacramento River Cats. These tasks include but are not limited to coordinating schedules, answering, and screening telephone calls, arranging conference calls, providing service to internal and external customers, acting as the primary contact for the President, hosting client events on behalf of the President, attending events to ensure successful outcomes, composing routine correspondence, organizing, and maintaining filing system, and assisting with special projects. The position will need to independently perform administrative work of a complex nature handling confidential information and interacting with owners, government officials, and employees at all levels of the organization.

Key Responsibility Areas:

  • Provide consistent, accurate, timely administrative support for the President and Executive Leadership to contribute to the achievement of Organizational objectives. This includes but is not limited to screening calls, arranging meetings, taking meeting notes, and scheduling travel.
  • Provide friendly, professional, and supportive correspondence (oral/written) to facilitate information flow, and achievement of customer and Team Member satisfaction. Serves as liaison, responds professionally to inquirers and internal and external client requests.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies leadership when required. Additionally, coordinates travel for candidates and vendors/partners for in-person interviews and events.
  • Collect and organize organizational data for distribution to designated leaders including the President. Additionally, collect and compile presentation information for use in company and outside vendor/partner/pitch meetings.
  • Arrange events and programs as assigned including employee events such as the Grand Slam Service Awards, and external events. Oversee the set-up and vendor selection for high profile events at the direction of the President and/or Executive Team.
  • Oversee all aspects of executive suite entertainment and hosting including coordination with food and beverage, outside vendors as needed, ticket distribution, communication, invitations, and ensure execution during event meets service standards.
  • Compose and prepare confidential correspondence, reports, and other complex documents. Initiate required administrative reports using internal systems and Microsoft Office programs.
  • Collect and organize content for the month employee newsletter, the Cat Blast, ensuring accurate and timely delivery to Human Resources for distribution to employees.
  • Handles monthly credit card reconciliation for both personal and corporate finances.
  • Perform other duties and responsibilities as required.

Qualifications:

  • Minimum 3-5 years of professional experience providing administrative assistance to a professional c-level executive.
  • Demonstrated experience hosting client events on behalf of the President and executive level. Including scheduling caterers, selecting menus, setting up, and tear down.
  • Must possess excellent written and oral communication skills with the ability to communicate effectively with executives, co-workers and public. Must be professional and courteous.
  • Strong organizational and analytical skills with the ability to handle multiple projects simultaneously, and work under tight time constraints.
  • Demonstrated experience dealing with confidential information.
  • College degree preferred but not required.
  • In-depth working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. This includes managing multiple calendars, organizing reports in Excel using filters and PivotTables, creating easy to consume charts, and creating PowerPoint presentations.

Compensation:

The expected annual base salary for this role is $66,560 - $70,000. Final offers for this role will be made within the parameters of the salary range provided. Years of experience, skills, and other factors are considered when determining the salary offered. Total compensation & offer package will include the following:
