As a Travel Concierge Coordinator, you will support our team in helping sports teams and families book their trips within the youth sports environment. You will be representing many hotel brands while maintaining the company’s service standards and applicable operational standards. This position is a remote/hybrid position that requires this person to be in the Aberdeen, MD area.


 Job Summary:

As a Travel Concierge Coordinator, you will:

  • Collaborate with internal team to surpass sales targets and attain customer satisfaction objectives.
  • Stay abreast of industry trends, emerging opportunities, and travel products to present the latest and best options.
  • Deliver exceptional customer service by addressing inquiries, resolving issues, and ensuring a seamless travel experience.
  • Work with the sports park management team to ensure a world class guest experience for players, coaches, and families.
  • Communicate with tournament organizers to ensure compliance of stay requirements. 
 

Responsibilities: 

  • Provide administrative support to ensure efficient operation of the travel/entertainment reports and reimbursement process, including generating weekly reporting during tournament season.
  • Assist in communicating with hoteliers, requesting additional inventory as needed to meet the needs of multiple teams.
  • Ensure compliance in all stay-to-play aspects of travel procedures by auditing room night counts and communicating requirements to teams.
  • Manage all daily inquiries for The Ripken Experience® Aberdeen, stay-to-play reporting, billing process and reconciliation.
  • Release communication to newly registered teams with lodging information and lead follow-up efforts.
  • Provide exceptional customer service to guests during planning and through the duration of the tournament/event.
  • Exhibit polite and professional communication via phone and email.
  • Support the team by performing tasks related to business functions and data entry.
  • Ability to assist internal team with follow up calls to lodging partners.
  • Ability to follow the unique company policies and procedures as well as understanding privacy statements.
  • Support the organization in a sales building role during the season and offseason; including but not limited to:
  • Working effectively with sales staff to implement new programming year-to-year 
  • Make sales calls, communicating directly with coaches and organizations to fill hotel room booking obligations. 
 

Qualifications: 

  • Bachelor's degree
  • Minimum one year Coordinator experience in a customer service and/or hotel environment
  • Training in travel and tourism
  • Proven sales experience, preferably in the travel or hospitality sector
  • Able to work well under pressure and meet company deadlines.
  • Excellent communication and interpersonal skills.
  • Strong customer service orientation.
  • Proficiency in using sales and reservation software.
 

Preferred:

  • Proven experience as Reservations Coordinator, Front Desk Coordinator, or Hospitality professional.
  • Knowledge of Travel and Entertainment facilities.
  • Well-organized and reliable.
  • An analytical mind with strong business acumen.
  • Genuine enthusiasm for travel and a comprehensive understanding of diverse destinations
  • Ability to work independently and as a team member.
  • Willingness to work long hours and weekends seasonally as the business requires.
  • May be asked to routinely lift items of weight up to 30 lbs. to accomplish job duties.
