We are seeking an enthusiastic and dedicated individual to join our team as a Spring 2027 Administration Intern. This role offers a unique opportunity to gain hands-on experience supporting the administrative and business operations of a large-scale sports and events campus. As an Administration Intern, you will play an important role in supporting day-to-day office operations, administrative projects, data management, client and staff communication, and other tasks that help keep the organization running smoothly at Droplight Grand Park Sports Campus in Westfield, Indiana. This internship is ideal for individuals interested in business administration, sports management, event management, organizational operations, and gaining a behind-the-scenes understanding of the business side of a major sports and events campus. 

Grand Park Sports Campus 
Grand Park in Westfield, Indiana, is a planned youth and adult recreational sports Campus designed to become a family sports destination like no other. This thoughtfully-designed 400-acre sports campus features a full-range of championship-level outdoor facilities for baseball, softball and field sports including soccer, football, ultimate frisbee, lacrosse and three-field indoor events center designed for year-round play.

General Definition of Work
The Administration Intern supports Grand Park's administrative and business operations by assisting with sales support, bookkeeping, office management, client services, and event administration. This internship provides hands-on experience in the day to day business operations of a premier sports venue while working alongside professionals in sales, finance, event management, and client services.

Work is performed under the supervision of various team members. Work hours are primarily Monday through Friday during regular business hours but may include evenings and weekends based on event activity and departmental needs.

Essential Functions

Sales & Client Support
  • Assist the sales team with preparing proposals, contracts, presentations, and client correspondence.
  • Support the coordination of site visits, facility tours, and prospective client meetings.
  • Assist with lead tracking, CRM updates, and sales pipeline organization.
  • Conduct research on prospective clients, sporting events, and business development opportunities.
  • Support event booking documentation and client communication throughout the planning process.

Administrative & Office Management
  • Assist with daily office operations and administrative support for multiple departments.
  • Prepare meeting materials, agendas, and presentation documents.
  • Organize electronic files, contracts, and departmental records.
  • Coordinate office supply inventory and assist with ordering and organization.
  • Answer general inquiries and provide exceptional customer service to clients, vendors, and visitors.
  • Assist with scheduling meetings and coordinating departmental calendars.

Finance & Bookkeeping Support
  • Assist with invoice preparation, purchase orders, and payment tracking.
  • Support bookkeeping functions by organizing financial records and maintaining accurate documentation.
  • Assist with event settlements and reconciliation processes.
  • Enter and maintain administrative data within internal systems.
  • Help prepare reports related to revenue, expenses, and departmental performance.
  • Maintain confidentiality of financial and client information.

Event Administration
  • Assist with event planning documents, operational timelines, and administrative checklists.
  • Support event managers with pre event preparation and post event documentation.
  • Coordinate communication between internal departments to ensure event readiness.
  • Assist with credential preparation, registration materials, and event documentation.
  • Support special projects related to business operations, administration, and continuous improvement.
  • Perform additional duties as assigned by the team.

  • Experience with CRM, accounting, or project management software is preferred but not required.

Education & Experience
Current undergraduate or graduate student pursuing a degree in Business Administration, Accounting, Finance, Sports Management, Hospitality Management, Event Management, Marketing, Communications, or a related field.
Previous experience in an office environment, customer service, bookkeeping, administration, or event planning is preferred but not required.
Interest in business operations, sports administration, finance, or venue management is strongly preferred.

Physical Requirements
This position primarily works in an office environment and requires frequent sitting, computer use, speaking, and written communication. Occasional standing, walking throughout the campus, lifting up to 25 pounds, and assisting with event preparation may be required.

Special Requirements
Valid driver's license.
Ability to work occasional evenings and weekends based on event schedules.
Ability to maintain confidentiality while handling financial and client information.
