Coordinator –Guest Services, Security, and Parking

Position Summary:

The coordinator plays a critical role in supporting day-to-day stadium operations for parking, special events, guest services and security. This position ensures smooth execution of both game day (baseball and soccer) and non-game day events by coordinating key operational systems, communications, staffing, and supply logistics. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced, customer-focused environment.

 
Key Responsibilities:

Administrative & Operational Support
·         Maintain and update the Master Calendar for the venue.
·         Help manage operational budgets for Guest Services and Security, monitor department expenses, and assist with ordering supplies including polos, towels, and office materials in season and of season.
·         Assist with briefing sheets, event templates, and staffing overviews for game days and special events.
·         Support internal communication tools (Calendly & Click Send) and platforms for staff coordination.

Staffing & Scheduling
·         Utilize ABI MasterMind for staff scheduling, pay rates, skills management, and event positioning.
·         Assist in hiring and onboarding seasonal staff, ensuring completion of training and distribution of the Employee Service Guide.
·         Maintain incident reports and ensure timely follow up of documentation for guest and employee issues.

Event & Guest Services
·         Oversee the Parking department, and assist with Guest Services, Security, and Special Events to ensure seamless execution of stadium events.
·         Support pre-event setup and post-event breakdown in collaboration with facilities and stadium staff.
·         Ensure team members are trained with up-to-date training documents and deliver excellent guest service.

Technology & Tools
·         Use Microsoft Excel and Word for data tracking, reporting, and document creation.
·         Support systems such as the Milestone Camera System and assist with tracking and maintenance
·         Help with aspects of the Lenel Badge System, including printing badges as well as coding them for new/current employees.
 

Parking

Administrative & Operational Support
·         Manage department in season and of season for both baseball, soccer and special events.
·         Manage operational budget, monitor department expenses, ordering parking supplies in season and off season.
·         Working with local parking agencies near the ballpark to ensure employee and guest parking is available.
·         Working with the city and local venues on leases for parking sites, while calculating lease expenses.
·         Ensuring that Metro PD is coordinated with street closures and crosswalks for baseball, soccer and special events.
·         Maintaining internal parking sites for our staff and guests.
·         Calculating and ordering parking passes for full-time, part-time staff and baseball and soccer teams.

Staffing & Scheduling
·         Utilize ABI MasterMind for staff scheduling, pay rates, skills management, and event positioning.
·         Hiring seasonal staff, ensuring completion of training and maintaining staffing levels throughout the season.
·         Ensure team members are up to date with training documents and deliver excellent guest service throughout season.

Qualifications 
  • Demonstrate knowledge of interpersonal relationships unique to the guest services industry.
  • Demonstrate knowledge of industry terminology, facility capabilities, operational procedures, and event-related services. 
  • Work independently, exercising judgment and initiative.  
  • Work effectively under pressure and/or stringent schedules and produce accurate results.
  • Remain flexible and adjust to situations as they occur.
  • Ability to work long and irregular hours that may vary due to functions and may include days, evenings, weekends, and holidays. 
  • Two (2) years related experience and/or training, or an equivalent combination of education or experience required.
  • Previous experience in event operations or parking operations is preferred but not required.
