Overview

The Special Events Manager is responsible for the planning, coordination, and execution of all non-game day events at the Wilson Warbirds Stadium including but not limited to concerts, corporate outings, fundraisers, festivals, and private functions.

 

Core duties for this role include, but are not limited to:

  • Plan, coordinate, and execute non-baseball events including concerts, festivals, private parties, corporate functions, and community events.
  • Serve as the main point of contact for special event clients from inquiry through execution.
  • Coordinate with internal departments and external vendors to ensure seamless event setup, staffing, operations, and breakdown.
  • Develop creative event concepts and tailor packages to clients’ needs to maximize bookings and revenue.
  • Write, review, and execute event contracts, ensuring all terms are clear, compliant, and aligned with organizational policies.
  • Create and manage event budgets, track expenses, coordinate billing and invoicing, and ensure accurate financial reconciliation post-event.
  • Work with the marketing team to promote event opportunities to local businesses, organizations, and the public.
  • Identify and pitch new event concepts that align with the stadium’s brand and community goals.
  • Develop Standard Operating Procedures (SOP) across event management and operations to maintain consistency, improve efficiency and drive client satisfaction.
  • Post-Event Evaluation. Conduct post-event debriefs with key stakeholders to recognize success, capture feedback, and identify opportunities for continuous improvement.
  • Assist in planning and executing in-game promotions, theme nights, giveaways, and fan engagement activities.
  • Assist with the development of promotional schedules and scripts.
  • Support mascot appearances, community outreach efforts, and promotional events both at the stadium and off-site.
  • Collaborate with the creative team to brainstorm ideas that increase attendance, enhance the fan experience, and drive brand awareness.

 The ideal candidate will have a Bachelor's degree (B. A.) from four-year college or university; or three to five years related experience and/or training; or equivalent combination of education and experience.

The employee must regularly lift and /or move up to 20 pounds.  Specific vision abilities required by this job include close vision, distance vision, peripheral vision and ability to adjust focus.

 

Work Hours                                                          

Business hours are Monday – Friday 9 am – 5pm, however, additional hours may be required to work evenings, weekends, and holidays. Extended hours as needed for games, special events, and community appearances.
