Position Summary
The Baseball Operations Assistant will serve as a trusted partner to the Baseball Operations leadership team, ensuring smooth administrative execution while also contributing to the department’s broader goals. This role combines traditional executive assistant responsibilities with the opportunity to engage in baseball operations projects that match the candidate’s skills, curiosity, and initiative. The ideal candidate is detail-oriented, proactive, and eager to learn, with the ability to balance daily support tasks with contributions that enhance Baseball Operations processes and communication.

Essential Functions
Administrative and Operational Support
• Manage calendars, meetings, and travel logistics for Baseball Operations leadership.
• Prepare agendas, compile meeting materials, take notes, and ensure follow-up on action items.
• Process expenses, approvals, and departmental documentation with accuracy and timeliness.
• Maintain confidentiality and exercise sound judgment in handling sensitive information.

Cross-Functional Coordination
• Serve as a liaison between Baseball Operations and departments across the organization (e.g., HR, Finance, Legal, IT), helping to facilitate communication, resolve issues, and build relationships.
• Maintain key Baseball Operations documents, databases, and systems.

Value-Add Opportunities
• Contribute to special projects and research within Baseball Operations.
• Assist with the design or organization of documents, presentations, or communication materials.
• Learn and become proficient with Baseball Operations systems and tools; help improve workflows and streamline processes.
• Monitor industry trends, best practices, and organizational needs, summarizing findings and proposing process enhancements.
• Provide strategic support by identifying areas where the Assistant role can add value beyond standard administrative duties.

Staff & Candidate Support
• Coordinate logistics for candidate interviews, including travel arrangements, scheduling, and agendas.
• Support onboarding of newly hired Baseball Operations employees.
• Serve as a centralized resource for staff requests, providing exceptional internal service and directing inquiries to the appropriate stakeholders.

Education & Experience Guidelines
• Bachelor’s degree, preferably in business administration or related field, or equivalent experience. 

Work Environment
• Availability to work evenings, weekends, and holidays as needed.
• Willingness to travel as required.
• Ability to work in a fast-paced, high-pressure environment.
