Overview
Collegiate Baseball Experience, LLC., based in Colonial Heights VA, combines competitive sports and sports entertainment to present a unique fan engagement experience offered by no other sports organization. The organization features multiple brands: the Tri-City Chili Peppers, a summer collegiate wood bat baseball team in the Coastal Plain League; the Chilly Peppers, an alter-ego team that plays exhibition games; the Cosmic Chili Peppers of the Cosmic Sports league, and the GlowMojis of the Cosmic Sports league. 

Shepherd Stadium in Colonial Heights, VA is the home stadium and the location of staff offices. . 

Description
The Office Manager will be responsible for maintaining the daily function of the Shepherd Stadium office space to ensure a welcoming, clean and organized environment to help with staff success and achieve fan satisfaction. This position will interact with fans, partners, sponsors and guests on a daily basis, thus the person that fulfills this position must be sociable and capable of positively interacting with a variety of constituents. This role will not only assist with office management, but it will also support a growing game day tickets operation, thus having an impact on our fan engagement. This position will work out of the Shepherd Stadium office Monday-Friday from 9AM-5PM. At times this position may be expected to or asked to support evening/night and weekend functions as need be. 

Responsibilities
  • Provide general office, administrative, and clerical support, including but not limited to: copying, filing, correspondence, meeting coordination, etc.
  • Answer phone calls and email inquiries professionally and accurately. 
  • Greet and assist in-person visitors. 
  • Assist with fulfilling ticket requests and answering related questions.
  • Reroute applicable inquiries to the proper departments.
  • Keep detailed and accurate records of visitor requests and of calls received.
  • Manage post-event lost & found inquiries and returns.
  • Receive deliveries and/or connect delivery company with appropriate staff.
  • Oversee office supplies, maintain inventory and order supplies as needed.
  • Manage general office upkeep, including ensuring common areas remain clean and organized.
  • Handle incoming and outgoing mail, including daily post office pickups.
  • Receive, sort, and distribute package deliveries.
  • Assist with organizing staff events and meetings as needed, which could include finding appropriate locations, coordinating with vendors, ensuring needed supplies are ready and preparing copies of agendas. 
  • Contribute to team efforts, foster a culture of collaboration, support, and mutual respect within the workplace.
  • Other duties as required/requested.

Qualifications
  • 2+ years’ experience in a receptionist or office manager role is preferred.
  • Experience in hospitality/theatre/live entertainment/sports, a plus.
  • Excellent oral and written communication.
  • Friendly, professional attitude with the ability to be proactive and resourceful.
  • Guest-service focused, able to kindly and confidently answer guest inquiries.
  • Outstanding organizational, time-management, and multi-tasking skills.
  • Intermediate to advanced computer skills, including Google Programs and other word processing/spread sheet/presentation programs. 
  • Ability to work in a fast-paced environment and work under pressure.
  • Flexible team player that maintains cooperative working relationships with company and business contacts.
  • Strong attention to detail, accuracy, and validity.
  • Willingness to work evenings, weekends, holidays, as required by the events or business needs.

Compensation
  • Compensation: $16.00/hr

Time Commitment
  • 9am-5pm Monday-Friday in person at Shepherd Stadium, 901 Meridian Avenue, Colonial Heights VA 
  • As preparation for the season picks up, hours outside of 9am-5pm and over the weekend will be required
  • During the season, evening, night and weekend hours will be required based on the game schedule, tour needs, community events, special projects, and more.
