About the Role
New York Empire Baseball is seeking a Community Marketing & Guest Experience Associate to serve as both the front-line connection between our organization and our players & their families, and the driving force behind our community presence across Long Island. This is not just an administrative role — it is a hospitality-driven, community-facing position where anticipating needs, building relationships, solving problems, and creating memorable experiences are at the heart of what you and we do.
You will assist in executing our community marketing strategy — building partnerships with local leagues, schools, religious organizations, and businesses, and bringing Empire's signature community activations to life. Working closely with team at the company headquarters in Manhattan, you will manage communications, registration, scheduling, apparel and gear orders, and day-to-day front office operations at our new facility The Hub in Syosset.
Most importantly, you will ensure that every player and family — whether they are walking through our doors for the first time or hearing the Empire name in the community — feels welcomed, informed, supported, and inspired in every interaction.
Key Responsibilities
Community Marketing
• Execute Empire's 90-day community partner outreach plan
• Draft, personalize, and send outreach communications using Empire's brand voice
• Coordinate and staff signature creative activations i
• Maintain a shared tracker across all community marketing workstreams (partner outreach, activations, camp outreach, referrals) and report progress against milestones.
• Capture photos, video, and family stories from activations and events for social media and future marketing use.
Guest Experience
• Serve as the first point of contact for players and families by phone, email, and in person.
• Proactively anticipate questions and needs — providing answers and solutions before they are asked.
• Manage and maintain our online registration system with accuracy and attention to detail.
• Coordinate apparel, gear, and uniform orders and ensure timely fulfillment.
• Support scheduling, facility use, and day-to-day operations of our indoor facility, The Arena.
• Represent New York Empire Baseball with a warm, professional, and service-oriented demeanor — recognizing that every experience, no matter how brief, should be an inspiring one.
What We're Looking For
Required
• Exceptional communication skills (verbal and written) with a polished & professional and friendly & warm tone.
• Strong organizational skills and comfort with computer systems and online platforms.
• Positive energy, intellectual curiosity, and a proactive, problem-solving mindset.
• Ability to juggle multiple priorities while staying detail-oriented.
• Comfort with outbound outreach — making phone calls, sending personalized emails, and representing Empire in the community.
Preferred
• Background in hospitality, customer service, youth programs, or event management.
• Experience or interest & passion in sports, recreation, or working with children and families.
• Retail, apparel, hospitality, or facility management experience.
• Experience in community marketing, partnership development, local event coordination, or grassroots outreach.
