The Major League Baseball Players Alumni Association (MLBPAA) seeks an Administrative Assistant to manage complex calendars, coordinate travel, support presentations and special projects and serve as a trusted partner who understands priorities and maintains confidentiality. A successful candidate is self-motivated, quick-thinking, flexible, and able to juggle responsibilities with an emphasis on organization and attention to detail.

Responsibilities:
  • Coordinate scheduling and calendar management for CEO 
  • Arrange and manage travel, including flights, hotels, ground transportation, and itineraries as needed 
  • Prepare and submit expense reports
  • Organize and support staff meetings, business leads and research, and leadership meetings
  • Act as a point of contact between executives and internal and external colleagues including MLBPAA members, donors and industry colleagues. 
  • Provide administrative support to Executive Team as needed
  • Prepare presentation decks and assist with project coordination for key initiatives such as Board of Directors meetings, etc. 
  • Organize Board committee calls and take minutes accordingly 
  • Support ad hoc requests and special projects as required

Qualifications & Preferred Skills:
  • Experience supporting senior executives in an administrative capacity
  • Proficient in Microsoft Office Suite
  • Self-motivated, collaborative, and able to thrive in fast-paced environments
  • Positive attitude and work well both independently and collaboratively
  • Strong organizational, time management, and multitasking skills
  • High degree of professionalism, discretion, and confidentiality
