Summary
As the Event Coordinator, you will be responsible for assisting the Event Operations Manager with the planning, organization and execution of all non-game-related stadium events. These duties include management of logistical aspects, budgeting, vendor relations, and coordination of in-house elements like catering and set up.

Essential Functions and Responsibilities
  • Assist with the planning, promotion, service, execution, and supervision of all non-game related events.
    • Including set up and tear down.
  • Ensure all documentation specific to an event (“Event File”) is complete, distributed, and logged appropriately.
    • Develop event concepts, themes, timelines, field & room layouts.
    • Manage client expectations and address needs as they arise.
    • Track expenses and ensure cost-effectiveness.
    • Provide regular updates on event progress.
    • Coordinate catering and audio-visual needs with the appropriate departments.
    • Provide detailed timeline of events to all departments.
    • Produce signage.
    • Schedule and supervise seasonal/part time support staff in accordance with event needs. 
  • Analyse challenges, identify alternative solutions, and project consequences of proposed actions and implement recommendations in support of organizational objectives.
  • Investigate and resolve event related complaints in a professional manner ensuring customer satisfaction.
  • Conduct post-event evaluations and collect feedback.
  • Manage special projects, both self-initiated and assigned, by establishing and maintaining connections internally and externally.
  • Assist in the management of vendor relationships.
    • Assurance of timely delivery of services.
    • Managing payments.
  • Attend weekly meetings to discuss details and necessary information needed for each event.
  • Ensure safety regulations and emergency preparedness standards.

  • Adaptability and flexibility. Due to the nature of the position, you will be required to work a flexible schedule: including unique events, non-game day events, evenings, weekends, and holidays as needed. Advanced notice will be given. 

Education & Experience
  • Bachelor’s degree in related field (eg. Sports administration, operations, event management, recreation/facility management). Or equivalent and related work experience. 
  • Minimum 3 years’ experience in facility or unique events environment; sports or entertainment experience preferred.
  • Strong verbal and written communication skills. 
  • Must be able to demonstrate (by way of example and/or experience) an elevated level of organization, resourcefulness, and attention to detail.
  • Motivated initiative-taker who possesses the ability to work both independently and an integral member of a team. 
  • Ability to manage multiple projects and meet deadlines.
  • Creative, energetic individual who can develop and maintain good relationships with clients, sponsors, and staff members.
