SUMMARY
The Associate Executive Director works closely with the Executive Director in planning, directing and managing the day-to-day operations of Old National Events Plaza including front and back of house services, event production, stagehands, maintenance, engineering, custodial services, audio visual services, safety and security and emergency preparedness and associated personnel.  Responsibility further includes evaluation and recommendations to improve organizational administration, procedures, policies and programs.  

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.
1.     Assists the Executive Director in all phases of facility management.
2.     Ensure that all events are coordinated and executed in a professional manner.  Communicate with all parties involved and affected by events.  
3.     Liaison with ONEP tenants.  Manage on-going relationships and communication with tenants, touring staff and public for positive image.  Create systems for responding to customer inquiries.
4.     Provide direction and oversight of the hiring, training and scheduling of operation facility supervisors and managers, including cross-training to ensure appropriate coverage.  Plans and schedules levels of support according to event load.
5.     Oversees maintenance of the facilities, including development and monitoring of maintenance contracts with third party vendors.  
6.     Represent VenuWorks and Old National Events Center in meetings or conferences in a professional manner.
7.     Assembles information and conducts event settlements.
8.     Coordinates with the maintenance team that all physical plant systems within the facility are complete and operate correctly according to performance specifications.
9.     Reviews and modifies policies and procedures for facility services with appropriate approvals.
10.   Compiles the performance appraisals and salary recommendations on operations and event facility staff.
11.   Oversee operations, custodial, security and A/V services across the facility.
12.   Research, plan, spec, track, and coordinate all CIP funding projects.  With direction from Executive Director and received funds for the Vanderburgh County, plan and oversee improvement projects for the Old National Events Plaza.
13.   Oversee all Third-Party contractors for the facility and campus.  
14.   Performs other tasks as assigned by Executive Director

OTHER RESPONSIBILITIES
1.     Develop policy recommendations, changes in rental pricing and other programs for approval and implement same.
2.     Ensure proper communication between venue staff and user groups through ongoing written and verbal reporting.
3.     Responsible for proper financial procedures in purchasing and deposits including filling out Purchase Orders and processing invoices with Finance.
4.     Responsible for the cleanliness, maintenance and upkeep of all furniture, equipment, locker and meeting rooms, and general areas inside and outside of the venue.  This includes supervision of outdoor maintenance including grass cutting and snow removal.
5.     Perform other duties, functions and special projects assigned by the Executive Director and corporate staff of VenuWorks.
6.     Other duties as assigned.

 SUPERVISORY RESPONSIBILITIES 
Directly supervise full-time and part-time staff engaged in marketing, maintaining facilities and mechanical systems.  Carries out supervisory responsibilities in accordance with VenuWorks policies and applicable laws.  Responsible for interviewing, hiring and training employees; planning, assigning and directing work; appraising performance, rewarding, disciplining in accordance with Human Resources, addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE 
1.    Bachelor’s degree from four-year College or University in business administration, marketing, communications, public assembly management or related field with relevant experience required. 
2.    Minimum of seven (7) years of direct Supervisory experience.
3.    Proficiency with MS Office programs, particularly Excel, required.
 
CERTIFICATES, LICENSES, REGISTRATIONS 
1.     Must possess current, valid driver’s license and a current working cellphone with a number that can be accessed by building management personnel for business contact purposes. 
2.     Must have excellent computer skills, including experience with the Microsoft Office programs, such as Word, Excel, and PowerPoint.

LANGUAGE SKILLS   
1.     Ability to communicate effectively orally and electronically.
2.     Ability to read and comprehend instructions, correspondence, and memos.
3.     Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
4.     Ability to write reports, business correspondence, and procedure manuals.
5.     Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
6.     Ability to speak and understand English.

 MATHEMATICAL SKILLS 
1.     Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
2.     Ability to apply concepts of math on an Excel spreadsheet, calculator, ten key adding machine, or cash register such as discounts, interest, commissions, proportions, and percentage.
3.     Ability to add, subtract, multiple and divide in all units of measure, using whole numbers, common fractions and decimals.

PHYSICAL DEMANDS
