VenuWorks of Ashland, LLC., an employee-owned private management company, operates and manages the historic 1,400 seat Paramount Arts Center, located in the heart of Ashland, KY. 

SUMMARY 
The Event Manager is responsible for obtaining, communicating and coordinating and ensuring successful execution of event information and functions.  This position will supervise patron services, coordinate facility contract security, direct part-time labor and volunteers.  Requires evening and weekend work in excess of 40 hours per week and the ability to work flexible hours, including evenings, weekends and holidays

ESSENTIAL DUTIES include the following. Other duties may be assigned.
1.    Assists the Executive Director with all phases of event management.
2.    Has primary responsibility of contracting documents and sending them to clients for signatures and ensuring proper charges for room rentals and equipment.
3.    Has primary responsibility for acting as the liaison between clients and facility staff to ensure proper setup and execution of all events at both facilities.
4.    Inspects rooms prior to events to ensure that setups conform to the agreed-upon needs and desires of the clients.
5.    Ensures that event floor plans, seating charts, and sight lines meet patron satisfaction goals and are in compliance with all applicable laws, codes and regulations.
6.    Primary responsible for ensuring that setups are able to be completed in a safe, accurate, timely and efficient manner.

Other Responsibilities
1.    Primarily responsible for ensuring that event information is entered into the booking and scheduling software in an accurate and timely fashion.
2.    Reviews and updates HVAC and Lighting settings with Operations Manager to ensure that clients are provided with a safe, comfortable environment.
3.    Ensure that all events are coordinated and executed in a professional manner.
4.    When necessary, conducts special pre-event meetings with staff and catering representatives to disseminate all relevant information to personnel.
5.    Joint responsibility for monitoring the performance of event staff to ensure proper services are delivered and appropriate service levels are maintained.
6.    Ensures that all designated tasks are carried out in the most cost-effective manner
7.    Reviews invoices for contract event personnel to ensure that they accurately reflect the actual time worked.
8.    When directed, assists other operations and event personnel with the performance of their duties.
9.    Assists in the review and modification of the policies and procedures for operations with appropriate approvals.
10.  Schedules administrative, operations and events staff for rotating monthly Manger On Duty (MOD) with the approval of the Executive Director.
11.  Schedules contract security and EMS personnel as required for events.
12.  Ensures that all necessary reports are filed with both police and insurance in the event of damage to either facility or theft of equipment.
13.  Be available to work irregular hours (early mornings, late evenings, and weekends) as required to ensure proper supervision of events and activities scheduled at the Vicksburg Convention Center.
14.  Performs other tasks as directed by the Executive Director.
 
SUPERVISORY RESPONSIBILITIES 
Supervises event and contract labor staff on a routine basis.

3.    Ability to handle crowds and the general public; proven ability to deal in a professional and cordial manner with the public.
4.   Ability to plan, service and supervise a variety of events; ability to anticipate equipment and other needs for individual events.
 
EDUCATION and/or EXPERIENCE 
1.    High school diploma or general education degree (GED) and least three years related experience and/or training; or equivalent combination of education and experience.
2.    Experience working in a computer network environment utilizing Microsoft Word and Excel programs.

1.    Ability to write reports, business correspondence
2.    Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
3.    Ability to speak and understand English.
4.    Ability to greet the public in person and on the telephone in a pleasant and courteous manner.

MATHEMATICAL SKILLS 
1.    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
2.    Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

SALARY RANGE: $40,000 - $55,000 annually, exempt. (Salary determined by applicable position experience and years of experience.)
