POSITION SUMMARY:

The Project Coordinator works within the development team to drives cadence, documentation quality, and cross-team coordination across SFD's Owner's Rep, Venue Planning, and FF&E/OS&E projects. They organize and run the project "engine" by coordinating meetings and agendas, capturing decisions and action items, and maintaining up-to-date schedules and budget trackers so project leaders and clients have a clear view of progress and risks. They prepare draft contract deliverables, collect and perform initial review of project documents, and provide "loose procurement" support under direction of the project leader to move work forward efficiently. This role is detail-focused, deadline-driven, and oriented around consistent rhythms and high-quality documentation that enable on-time, on-budget delivery across SFD service lines.

PRIMARY RESPONSIBILITIES WILL INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

  • Assist the SFC Project Managers, Project Executives, and other SFC construction leaders in coordinating all aspects of design support, project management, and product procurement
  • Coordinate recurring project meetings with owners, architects, general contractors, and internal teams: build agendas, capture decisions/action items, and distribute follow‑ups promptly.
  • Maintain living project schedules and two‑week look‑aheads; update tasks, risks, and milestones weekly to keep the plan current for the project leader and client. 
  • Keep budget trackers current; log commitments and invoices; assist with pay application routing and status to support on‑budget delivery.
  • Collect and organize drawings/specs/addenda; intake and route RFIs and submittals; track responses and keep logs up to date.
  • Draft RFPs/bid tabs and assist with vendor coordination; track lead times, deliveries, and install dates under PM/PX direction.
  • Support FF&E/OS&E installation readiness: coordinate site access and sequencing with GC/trades; maintain install logs and punch lists through completion.
  • Support Owner's Rep site work: prep site-walk materials, document field observations/issues, and follow up on corrective actions with the GC/AE team.
  • Prepare draft client-facing deliverables and weekly progress summaries for PM/PX; ensure version control and on‑time submissions.
  • Track and assemble closeout documentation (warranties, O&M, as‑builts, asset lists); validate completeness with vendors and support handover.
  • Partner with venue operations and opening teams to align installation, testing, and training with pre‑opening readiness and event calendars.
  • Contribute to continuous improvement by using and refining checklists and templates (RFP, scope review/contracting, submittal, pre‑install, punch).
  • Manage a multi‑project workload across Owner's Rep, Venue Planning, and FF&E/OS&E service lines; maintain a reliable weekly cadence on each.
  • Travel occasionally to project sites and openings as needed for meetings, walk‑throughs, installs, and pre‑opening activities.
  • Communicate daily concerns with Project Manager and Project Team Members
  • Maintain good working relationships with suppliers, dealers, and manufacturers
  • Other projects as assigned by management

MINIMUM QUALIFICATIONS:

  • College degree preferred but not required
  • Familiarity of the construction management process and/or FF&E procurement process
  • Proven experience in proactively working on multiple projects
  • Proficient with MS Word, Excel, and Outlook; as well as learn and deploy new systemic platforms
  • Experience working with project management software
  • Experience in reading blueprints
  • Detail oriented, organized with the ability to multi-task and work under pressure
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills and customer service skills
  • Ability to analyze and problem solve
  • Ability to work independently and meet deadlines

TRAVEL REQUIREMENTS:

  • Willing to travel up to 30% of the time

WORKING CONDITIONS AND PHYSICAL DEMANDS:

  • Must be able to lift 40 pounds waist high
  • Will be required to sit for extended periods of time operating a computer
  • Office environment has intermittent noise, normal in nature
