Event and Security Coordinator

S.A.F.E. Management Arizona is seeking a motivated, organized, and dependable individual to join our Management Team. Qualified individual will report directly to the Managing Director. Responsibilities will include both administrative and operational functions to support the operations of S.A.F.E. Management of Arizona at State Farm Stadium and other venues/events S.A.F.E. Management is contracted to provide services.
 
·       Ensure that the S.A.F.E. standards outlined in the S.A.F.E. handbooks, training materials and event notes, as well as our mission statement, are being met and exceeded by yourself and all staff working at events for which you are responsible

·       Recruitment
  • Assist with the recruitment process – marketing/advertising, interviewing, hiring, training
  • Use online platforms, job fairs, and other creative ideas to recruit qualified individuals to apply for our part-time positions
  • Manage interview sessions
  • Assist with updating employee records and ensure accuracy across all administrative platforms
  • Prepare, manage and actively contribute to New Hire Training sessions


·       Training
  • Assist with the execution of all New Hire, Returning, and Leadership Trainings
  • Schedule staff to run the training
  • Prepare all training documents
  • Review, update and ensure all new hires in State Farm Stadium are completing and upholding all 24/7 SOP’s and trainings
  • Ensure all 24/7 guards are up to date on all 24/7 systems and if they are not work with ASM to get the staff the necessary training
 
·       Administration and the Time and Attendance System

  • Keep the time and attendance system up to date with only current employees
  • Create and schedule all small events and load in/out’s for major events at the stadium and other venues
  • Ensure that any crew calls are submitted and reconciled in the time keeping system
  • Work directly with the office team to ensure that all events in the pay period are entered in the time-keeping system correctly

·       State Farm Stadium Major Event Day
  • Prepare equipment and wristbands needed for game day distribution
  • Assist with ensuring that all event spaces are set correctly before staff arrive
  • Monitor aspects of the event and the staffing needs for the event to ensure S.A.F.E. is meeting event expectations
  • Assist with addressing and finding solutions to any event changes or staffing issues and concerns on event day
  • Assist and manager different premium spaces throughout the stadium


·       State Farm Stadium Small Events
  • Work directly with the client to obtain all event information (positions, post orders, start times, gate times, etc.)
  • Create / prepare / Update all event day documents
  • Schedule and maintain the event schedule and staffing for each event day
  • Reconcile and ensure all events are in timekeeping and manual payroll within 2 days of the event

·       24/7 Security
  • Work directly with the client to obtain all operational information
  • Create / prepare / update all operational information
  • Schedule and maintain the 24/7 schedule and staffing for each day
  • Respond to all HR and operational related inquiries or concerns from the 24/7 team
  • Maintain a full time and part time team member roster for those eligible and qualified to work
  • Reconcile each day or event and ensure it’s done in a timely manner that coincides with the payroll schedule
  • Invoice pay period by payroll Monday at noon so that payroll can be processed in a timely manner, and we can confirm we are invoicing and paying out the same amounts

 
·       Spring Training
  • Work directly with the client to obtain all event information (positions, post orders, start times, gate times, etc.)
  • Create / prepare / Update all event day documents
  • Schedule and maintain the event schedule and staffing for each game day
  • Guide interns to be an extension of full-time management for smaller events and game days
  • Create & Prepare Position Assignment Passes to be distributed on event day
  • Manage the check-in/out process on event day
  • Monitor aspects of the event and the staffing needs for the event to ensure S.A.F.E. is meeting event expectations
  • Assist with addressing and finding solutions to any event changes or staffing issues and concerns on event day
  • Reconcile each game day or event and ensure it’s done in a timely manner that coincides with the payroll schedule


 
·       Office Requirements

o    Assist with answering all calls and emails that come into the office within 24 hours

o    Be able to answer general payroll questions

o    Assist in receiving and replying to general staff inquiries as needed


·       Work Schedule
o    General office hours may vary

o    Office hours may be adjusted due to evening/weekend events, training, and interviews

 
Minimum Qualification:
  • Bachelor’s degree preferred
    • Focus on human resources and/or sport management is preferred
  • Strong interpersonal skills
  • Strong Computer skills including experience with MS Office (Outlook, Word, Excel, & PowerPoint)
  • A detail-oriented mindset
  • Ability to work efficiently in a fast pace, dynamic environment while understanding the time sensitivity of live events
  • Flexibility to quickly and effectively respond to shifting business needs and adjust initiatives and priorities accordingly
  • A “team first” approach
