Overview

The role of the Setup Manager is to ensure a high level of building services for meeting room set up, stage and equipment set up and movement and safe movement and operation of office and building support. Job duties include reading diagrams, moving equipment, setting furniture per the client specs and resume requirements. The manager oversees the department to include supervisors and daily part-time staffing needs. They have the discretion to make decisions that are in the best interest of the organization and the city. They are responsible for tracking and ordering supplies and equipment, producing reports, reading meeting room diagram software, preparing department budget and exercise sound judgement within this capacity. They are responsible for hiring, interviewing, scheduling, and producing performance evaluations for staff. Working with the event management team and ensuring the team is working within the national fire safety rules that maximum room sizes and provide proper exit regulations. Must be reliable, hardworking, and willing to work nights and weekends.

 

This role pays an annual salary of $45,000-$50,000

Responsibilities

  • Maintain safe and reliable building equipment for the team
  • Follow fire marshal guidelines relate to egress
  • Work with the events team to be sure that all floor plans meet regulatory guidelines
  • Able to work efficiently and independently with minimal oversight
  • Is well organized and able to prioritize workload
  • Completes regular inventory counts as prescribed by the Director of Event Operations
  • Evaluates staffing agencies regularly to ensure the venue is getting the best rate for quality labor
  • Able to work in a fast-paced environment
  • Able to maintain a professional and positive work environment
  • Is reliable, consistent and efficient
  • Read and provide direction based on autocad/social tables/ meeting matrix (diagram software) and drawings
  • Set stages, chairs, tables, and other equipment as need
  • Drive forklift or safety equipment needed to move furniture
  • Schedule staffing
  • Attends event planning meetings as assigned
  • Write Reports
  • Develop Standard Operating Procedures
  • Hire & interview staff
  • Produce Performance Evaluations
  • Order equipment and supplies
  • Produce and maintain department budgets
  • Communicate with vendors and supplies
  • Negotiate pricing and contracts with vendors
  • Develop and implement detailed project plans for each event, ensuring all set-up tasks are clearly defined, assigned, and completed on schedule
  • Establish a system for monitoring the progress of set-up tasks, identifying potential roadblocks early, and taking corrective actions as needed
  • Conduct thorough post-event reviews to assess the effectiveness of the set-up process and identify areas for improvement only on a frequent basis with team leads or supervisors
  • Maintain an accurate inventory of all set-up equipment, ensuring that all items are accounted for and in good working condition
  • Maintain clear communication channels with other departments, ensuring that all relevant information regarding event setups is shared promptly and accurately. Also, actively address concerns or suggestions from other departments regarding the set-up process
  • Establish clear accountability standards and hold team members responsible for their assigned tasks and overall performance
  • Secure required equipment for events if outside venue inventory

Qualifications

  • 3-5 years of supervisory experience required
  • Computer skills in Microsoft office required
  • License for forklift operator
  • Excellent customer service skills
  • Lift at least 50-75 lbs
  • Must be knowledgeable of health and safety protocols
  • Must have a great sense of attention to detail
  • Must be able to stand and exert well-paced mobility for full shifts
  • Must be willing to work weekends and evenings
