Overview

The Public Safety & Transportation Coordinator provides administrative, operational, and logistical coordination support to the Public Safety & Transportation Department at the Miami Beach Convention Center and City Center Campus. This role supports daily department operations, event readiness, transportation logistics, safety documentation, and interdepartmental coordination. The Coordinator works closely with department leadership to track action items, maintain documentation, support event logistics and operational readiness, and help ensure effective communication across internal teams, vendors, and City partners. This role does not include supervisory or disciplinary responsibilities. The Coordinator supports departmental operations and executes tasks under the direction of department leadership. This position serves as an extension of departmental leadership to support organization, consistency, and operational follow-through across Public Safety, Transportation, and Safety initiatives.

 

This role pays an hourly rate of $25.00-$28.00

Responsibilities

ESSENTIAL DUTIES:

  • Support event readiness and coordination for conventions, trade shows, and special events, including Public Safety and Transportation logistics, access control coordination, traffic planning, and transportation operations.
  • Maintain departmental calendars; schedule meetings; compile and distribute meeting agendas, notes, communications, and follow-up items.
  • Maintain departmental records, trackers, and digital document systems (SharePoint and related platforms).
  • Assist with incident reporting documentation, data entry, follow-up tracking, and preparation of after-action reports and operational summaries.
  • Support document control including the organization, formatting, and distribution of standard operating procedures (SOPs), post orders, training materials, and departmental communications.
  • Assist with maintaining departmental safety programs and regulatory documentation, including OSHA-related recordkeeping requirements, inspection logs, safety observations, corrective action tracking, and training records as directed by department leadership.
  • Track employee certifications and maintain training matrices; coordinate scheduling of training sessions, safety meetings, drills, and departmental meetings.
  • Assist with compiling operational metrics, incident trends, and departmental data for reports, presentations, dashboards, and performance summaries.
  • Assist with coordinating communication and information sharing between Public Safety, Transportation, Event Management, contractors, vendors, and City agencies.
  • Assist with coordination of vendors and service providers, including maintaining vendor documentation and Certificates of Insurance, tracking service requests, and supporting purchase requests, expense tracking, invoices, and procurement processes.
  • Track and compile post-event billable Public Safety & Transportation services and coordinate submission of billing documentation to the accounting department.
  • Provide administrative support during audits, drills, inspections, and compliance reviews as directed.
  • Track departmental action items, operational tasks, and ongoing projects to support daily operations and event readiness.
  • Provide administrative and logistical support to department leadership, including supply ordering, inventory tracking, and departmental correspondence.
  • Provide professional support during events, meetings, inspections, and briefings as directed.
  • Perform other related duties as assigned.

Education and Experience:

  • High School Diploma or equivalent; some college work in business or some type of Security preferred
  • 1 to 2 years of experience in administrative, operations, logistics, event support, public safety, or transportation environments.
  • Equivalent combination of education and experience may be considered.

Skills and Abilities:

  • Working knowledge of public safety, security, transportation, and event operations procedures and protocols.
  • Strong organizational, administrative, and coordination skills with exceptional attention to detail.
  • Ability to prepare clear, concise reports, correspondence, and documentation.
  • Proficiency using spreadsheets, databases, and word processing software.
  • Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to maintain confidentiality and exercise sound judgment in sensitive situations.

Computer and Technology Skills:

  • Demonstrated proficiency with Microsoft Office Suite (MS Word, MS Excel, MS PowerPoint, MS SharePoint, and MS Outlook), internet, and familiarity with a variety of office equipment.
  • Experience with safety reporting systems, access control, and incident management platforms preferred.

Certificates, Licenses and Registrations:

  • OSHA 10-Hour or 30-Hour certification preferred.
  • Valid driver’s license required.
  • CPR/AED and First Aid certification preferred.
