Overview

The Event & Ice Rental Coordinator is responsible for supporting the planning, organization, and execution of events from start to finish. This role ensures seamless communication between clients, vendors, and internal teams, and oversees the logistical and administrative details necessary to deliver high-quality, memorable events. The Event & Ice Rental Coordinator will have administrative responsibilities at both TD Station & the Saint John Trade & Convention Centre.

 

This role pays an hourly rate of $20.00 to $22.75 CAD

Responsibilities

  • Sell and co-ordinate the Ice Rental sales
  • Assist with invoicing
  • Provide detailed calendars and event details for Ice Rentals
  • Assist with administrative duties to help the Director of Finance
  • Assist in the planning and coordination of events including conferences, meetings, banquets, weddings, and special functions.
  • Serve as a secondary point of contact for clients during the planning process and on the day of the event.
  • Distribute event orders, schedules, and floor plans in collaboration with clients and internal operations teams.
  • Coordinate with vendors (catering, AV, décor, entertainment, etc.) to ensure timely delivery and setup.
  • Support on-site event management, including room setup checks, guest assistance, troubleshooting, and client communication.
  • Ensure compliance with company policies, safety standards, and contractual agreements.
  • Manage event-related administrative tasks such as invoicing, contracts, and post-event reporting.
  • Assist with event marketing, promotions, and social media as required.
  • Provide post-event follow-up with clients to gather feedback and strengthen relationships.

Qualifications

  • 1–3 years of experience in event planning, coordination, or hospitality preferred.
  • Strong organizational skills with keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple events/projects simultaneously under tight deadlines.
  • Proficient in Microsoft Office Suite; experience with event management software an asset.
  • Flexible schedule with ability to work evenings, weekends, and holidays as required.
  • Strong problem-solving and customer service skills.
