Overview
The Business Operations Manager is responsible for the day-to-day operational and administrative management of the Berger Foundation Iceplex, with primary ownership of systems, scheduling, and Welcome Center operations. This is a systems-driven role requiring a strong background in software management, scheduling platforms, POS systems, and operational workflows. The Business Operations Manager serves as the primary administrator of DaySmart, ensuring accuracy across scheduling, registrations, waivers, staffing inputs, and reporting. This role oversees Welcome Center operations, including staff management, concessions, skate rentals, liability waivers, and customer service escalation. The position reports to the General Manager and serves as Manager on Duty as required. This role has authority to make day-to-day operational decisions related to scheduling, staffing, and Welcome Center operations within approved guidelines.
This role pays an annual salary of $80,000 to $90,000 and is bonus eligible

Responsibilities
Systems & Software Management
- Serve as the primary administrator for DaySmart, including:
- Ice scheduling
- Program and event setup
- Online registration & POS integration
- Liability waivers
- Reporting and reconciliation
- Ensure data accuracy and system integrity across scheduling, registrations, payroll inputs, waivers, and reporting
- Proactively identify and resolve discrepancies or system issues
- Document operational processes, workflows, and system procedures to support continuity, training, and scalability
- Generate operational and financial reports as directed by the General Manager
Welcome Center Operations
- Oversee daily Welcome Center operations, including:
- Customer service & Admissions
- Skate rentals
- Liability waivers compliance
- Supervise, schedule, and train Welcome Center staff
- Create weekly staffing plans and task assignments
- Lead onboarding, training sessions, and staff meetings
- Act as first point of escalation for customer service issues, operational breakdowns, and staff concerns
- Serve as Manager on Duty as needed
Financial & Administrative Oversight
- Oversee daily reconciliation of digital and POS transactions
- Prepare and approve bi-weekly payroll for Welcome Center staff
- Manage Iceplex concessions:
- Ordering
- Inventory
- Quality control
- Assist with budgeting, reporting, and administrative duties as assigned
Programs & Events
- Coordinate logistics for Iceplex programs, birthday parties, and special events
- Support corporate and community events hosted at the Iceplex
- Serve as the primary Iceplex liaison with internal departments (Hockey Operations, Arena Operations, Events, Sponsors, Marketing, etc.) to ensure accurate scheduling and operational alignment
- Support and implement operational change initiatives, ensuring adoption of updated processes, systems, and policies
Success Measures
Performance in this role will be evaluated based on:
- Accuracy and reliability of DaySmart scheduling, registrations, and waivers
- Welcome Center operational efficiency and customer experience
- Staff readiness, training completion, and scheduling coverage
- Timeliness and accuracy of reporting, reconciliation, and payroll inputs
Qualifications
Required Skills/ Experience:
- Strong background in software systems management, scheduling tools, and POS platforms.
- 3-5 years of previous experience in Business Operations leadership.
- Experience managing customer-facing operations in a high-volume environment
- Proven ability to supervise, train, and schedule part-time staff
- Strong organizational skills with high attention to detail
- Ability to work in a fast-paced, evolving operational environment
- Ability to work flexible hours, including nights, weekends, and holidays
- Working knowledge of Microsoft Excel, PowerPoint, and general IT systems
Preferred:
- Bachelor’s degree (or equivalent professional experience)
- Experience in ice arena, recreation, or sports facility operations
- Experience implementing or managing registration and scheduling platforms
- Familiarity with concessions or retail operations
Working Conditions:
- Must be able to work a flexible schedule inclusive of weekends, nights and holidays required
- Frequent bending, lifting 15-20 pounds, sitting, exposure to multiple external elements, extensive walking through the building including inclines and stairs.
