Overview

The Bookings and Events Coordinator is required to be adept at administrative tasks while drawing on strong interpersonal and customer service skills in order to maximize the usage of the entire venue. The successful candidate will be expected to be the hands-on coordinator for all the events and will actively pursue potential new users for the facility. The position will need to understand the complexities of a multi-use sport and entertainment venue and oversee a part-time team of seasonal employees.

 

Types of events include concerts, trade shows, religious functions, athletic competitions, tournaments, league play, and cultural festivals each ranging in size from 500 to 35,000 participants.

 

This role pays an hourly rate of $22.00-$26.00 CAD

Responsibilities

  • Co-ordinate all field rentals and special events
  • Work alongside the Management Team in the planning and execution of all large events
  • Be the first point of contact for rental inquiries
  • Deal with rental groups, addressing concerns and complaints
  • Pursue new rental opportunities with potential corporate and community clients
  • Draft event contracts and work with clients on event details including load in, safety, and cleaning plans
  • Maintain awareness of budget expectations and work towards achieving them
  • Keep accurate and easily accessible records of rentals, including relevant customer information
  • Plan seasonal recreation program/event schedules that meet the needs and interests of the community
  • Liaise with operations and other appropriate departments to ensure the smooth delivery of events
  • Develop and maintain working relationships and regular communication with public, private, and community groups
  • Assist in physically setting up events
  • Be the main point of contact with event organizers
  • Assist with maintaining social media accounts

Qualifications

  • Degree or Diploma from a recognized university or college in Business, Marketing, Event Management, or a related field.
  • Previous experience in an events or booking related position preferred
  • Previous experience working with trade shows, cultural festivals, community groups or concerts preferred
  • Proven planning and organizational skills
  • Willingness to assist in the physical setup of events such as moving tables, chairs, garbage cans, etc. (ability to lift up to 35 lbs.)
  • Strong interpersonal, verbal and written communication skills
  • Strong computer skills including social media, and a willingness to learn specific scheduling and bookkeeping applications
  • Willingness to work a flexible schedule, including significant evening and weekend work, especially during the summer months
  • Willingness to work outside and be standing/walking for long periods of time
